Summary:
The Maintenance Clerk assumes all tasks related to the maintenance expenses for the stores and DC's. This includes, but is not limited to, processing invoices and credits in a timely manner, issuing PO's, and completing various reports.
Specific Responsibilities:
-  Manages accounts payable - prior to payment, examines invoices to determine the accuracy of the expenditures, ensures all costs are correct, selects the proper account, enters for payment. 
-  Prepares documents relating to PO requests, gets internal approval, and issues PO's 
-  Prepares complete and accurate reconciliation accounting reports in timely manner. 
-  Responds to various queries from clients (vendors, stores) and Maintenance personnel pertaining to maintenance issues in a timely manner. 
-  Keeps various reports and spreadsheets accurate and up to date. 
-  Analyses vendor's account/billing problems and acts as a liaison with vendors regarding account reconciliations. 
-  Assists supervisor and/or Manager with investigating and responding to various inquiries. 
-  Participates in various projects and multi-store roll-out as the main administrative source (end of year project closing, project opening, contract entries.) 
-  Files all related documents. 
-  Executes all other related tasks requested by their respective supervisor. 
Qualifications:
-  College studies (2 years) with focus on accounting. 
-  1-3 years relevant experience in an office environment. 
-  Intermediate level knowledge of MS Office. 
-  Excellent data entry skills (fast & accurate). 
-  Ability to manage and organize workload. 
-  Excellent communication skills, both written and verbal. 
-  Working knowledge of SAP an asset. 
Relationships:
Internally - Stores, Maintenance team, and various departments.
Externally - Vendors & suppliers
