Summary:
The Maintenance Clerk assumes all tasks related to the maintenance expenses for the stores and DC's. This includes, but is not limited to, processing invoices and credits in a timely manner, issuing PO's, and completing various reports.
Specific Responsibilities:

Manages accounts payable - prior to payment, examines invoices to determine the accuracy of the expenditures, ensures all costs are correct, selects the proper account, enters for payment.

Prepares documents relating to PO requests, gets internal approval, and issues PO's

Prepares complete and accurate reconciliation accounting reports in timely manner.

Responds to various queries from clients (vendors, stores) and Maintenance personnel pertaining to maintenance issues in a timely manner.

Keeps various reports and spreadsheets accurate and up to date.

Analyses vendor's account/billing problems and acts as a liaison with vendors regarding account reconciliations.

Assists supervisor and/or Manager with investigating and responding to various inquiries.

Participates in various projects and multi-store roll-out as the main administrative source (end of year project closing, project opening, contract entries.)

Files all related documents.

Executes all other related tasks requested by their respective supervisor.
Qualifications:

College studies (2 years) with focus on accounting.

1-3 years relevant experience in an office environment.

Intermediate level knowledge of MS Office.

Excellent data entry skills (fast & accurate).

Ability to manage and organize workload.

Excellent communication skills, both written and verbal.
-
Working knowledge of SAP an asset.
Relationships:
Internally - Stores, Maintenance team, and various departments.
Externally - Vendors & suppliers
