Training and Consulting Program Coordinator - Vantage Point

Job Summary  

As a member of the Education & Consulting team, the Training and Consulting Program Coordinator is responsible for supporting long-term, trusting relationships with our custom training and consulting clients and Knowledge Philanthropists (KP). As Training and Consulting Program Coordinator you will provide detail-oriented administration and coordination for standard and custom training, strategic planning, and all other consulting engagements to ensure effective communications and service delivery. The role focuses on coordinating support to clients at all stages of their engagement in training and consulting services, from initial enquiries to evaluation processes after each engagement.

Role Responsibilities 

Client Engagement & Communications 

  • Be the first point of contact with clients for standard, custom, strategic planning, and consulting engagements and make appropriate referrals for scoping discussions with internal Client Leads (e.g., Organizational Consultant, Planning Consultants, and Associate Executive Director). 

  • Effectively communicate the range of Vantage Point learning opportunities and training and consulting services to current and future clients through email and phone communication; ensure service overviews and relevant webpages are up-to-date.   

  • Coordinate projects and delivery processes related to client engagements, using SalesForce, Slack, and SharePoint. 

  • With Client Leads, ensure timely and successful delivery of our programs according to client needs, objectives, and learning outcomes. 

  • Ensure efficient coordination of KP engagement and onboarding in partnership with Client Leads and Volunteer Engagement Coordinator. 

  • Develop and maintain post engagement follow up process in partnership with Client Leads. 

  • Support identification of and response to relevant Request for Proposals, including utilizing the RFP Screening matrix, to support Client Leads to prioritize RFPs. 

  • Share relevant information from our Referral List and other known sector supports, as relevant to client requests where Vantage Point does not have the relevant capacity or expertise. Work with the Administrative Coordinator on annual updates to the Referral List.  

Administration 

  • Administer all Salesforce (SF) entries related to client engagements, including setting up accounts, contacts, and opportunities to effectively track delivery process. 

  • Support Operations Manager in accurate monthly invoicing process and annual data evaluation collection process.  

  • With direction from Client Leads, draft proposals and contracts and help to finalize for client review, acceptance and/or signing.  

  • Within Salesforce, support the Volunteer Engagement Coordinator and Education Program Lead to track delivery progress related to facilitator engagement and material preparation for relevant engagements. 

  • Administer Vantage Point Associate contracts. 

  • Administer SurveyMonkey evaluation links for all custom/standard training and strategic planning engagements; track and summarize responses and share with client, Volunteer Engagement Coordinator, and other relevant team members.  

  • Administer SurveyMonkey Lifecycles Assessment links; track, summarize, and plot responses as needed for Client Lead.  

  • Input customized SurveyMonkey surveys for planning and consulting engagements; track and summarize responses and share with Client Lead. 

  • Support the Volunteer Engagement Coordinator to provide administrative support related to client deliverables throughout the delivery process, as requested. 

Other Responsibilities 

  • Contribute to team planning and activities. 

  • Engage in ongoing team learning and actions in strengthening our equity, diversity, and inclusion practices and approaches. 

  • Lead ad hoc internal capacity development projects, with a focus on those that support business development and more efficient and effective services. 

Qualifications and Competencies  

  • To excel in the Administrative Coordinator Role:  2+ years’ experience in a customer service/client development role.  

  • Strong relationship-building and relationship-management skills, particularly the ability to listen carefully and ask in-depth coach approach questions to get to the heart of a matter. 

  • Well-organized with strong time-management skills. 

  • Proven active listening skills and enjoys supporting people and their organizations to overcome challenges. 

  • Bachelor’s degree in a relevant field or equivalent experience. 

  • Self-starter and high capacity to work independently. 

  • A highly collaborative work ethic and excellent teamwork skills. 

  • Aptitude for technology, including Salesforce CRM, SurveyMonkey, Mailchimp and Microsoft Office Suite (i.e., Outlook, Word, Excel, PowerPoint).  

  • Knowledge and familiarity with research techniques for prospect research. 

  • Experience with the non-profit environment, as employee, consultant or volunteer. 

  • Personal commitment to ongoing learning and delivering work with excellence.

This is a full-time, permanent position (35 hours/weekly) with extended health benefits, including enrolment in the Municipal Pension Plan, and flexible work weeks. The position is in job range C according to our People Policies which has a hiring range of $52,200 - $58,000 depending on experience. All job ranges can be found here.  

Vantage Point’s offices are located on the traditional, ancestral, and unceded lands of the Coast Salish Peoples, including that of the xʷməθkwəy̓əm (Musqueam), Skwxwú7mesh (Squamish), and Səl̓ílwətaʔ (Tsleil-Waututh) Nations in downtown Vancouver with a hybrid working model that combines remote work with 2 to 3 days of on-site office work during a regular work week.  A minimum of 2 days per week in office is expected for this position.
