Project Coordinator - Consulting and Training for Non-Profits - Laridae

We are looking for a new Project Coordinator to join our team. If you are a detail-oriented person who loves to coordinate multiple complex projects simultaneously, are passionate about the non-profit sector, and looking for a work environment where you can learn and grow, this role may be for you.

Compensation

The annual salary for this position is $57,000 CAD. Laridae offers full time employees a minimum 6-week vacation policy, extended health benefits, and reimbursements for home office equipment.

Remote work & travel

We work remotely internally as a team. However, there are times when travel within Ontario will be required for in-person work with clients across Ontario, and we occasionally meet in person (approximately 2-4 times per year). Travel costs are reimbursed.

Responsibilities

Project coordination

  • Administrative & Logistical Support: Provide administrative support for client-facing projects, including management of project logistics

  • Coordination: Coordinate a complex array of tasks and meetings across multiple projects simultaneously, each involving multiple internal team members and multiple client stakeholders

  • Information Flow: Ensure clear and consistent communication across teams

  • Internal Communication: Effective, clear communications with project and team leads

  • Documentation: Ensure all notes and related documents are properly filed and accessible

  • Process refinement: Refine the coordination processes to strive for efficiency, consistency, and a high quality client experience

Client communication

  • Written Communication: Apply principles and practices of clear communications when preparing correspondence

  • Meeting Coordination: Schedule and organize client meetings, ensuring all necessary parties are informed and prepared

Information capture and sharing

  • Information and knowledge management: Gathering, capturing, consolidating, and supporting knowledge transfer with the aim of improving client experience

  • Note taking: Take succinct and useful notes during meetings, including engagement sessions, which will be used as the basis for client-facing reports

  • Summarization: Summarize key themes, points and takeaways, potentially with assistance from AI tools

  • Contact Management: Maintain and update contact lists and databases

  • Data Entry: Perform data entry using spreadsheets, charts, and internal project management software

Approach to work

  • Teamwork: Demonstrate strong teamwork and assist other members whenever possible and as required

  • Independence: Work independently, managing your own tasks, priorities and deadlines

  • Prioritization: Handle multiple priorities under deadline pressures

  • Proactive: Proactively look for ways to improve Laridae’s client processes, systems, and practices

Education & qualifications

  • Degree/diploma from a recognized post-secondary institution or an equivalent amount of lived experience

  • Demonstrated commitment to diversity, equity, and inclusion, anti-black racism, and/or anti-oppression frameworks, policy, and approaches, supported by lived experience and/or education and training

Experience

  • Minimum 3 years’ experience in a related field

  • Experience and demonstrated interest in the non-profit sector, such as work experience in the sector, or volunteer non-profit board experience

  • Demonstrated experience in project coordination and the coordinating logistics for complex initiatives

  • Collaborated effectively on a remote-first team, experience with remote-first service delivery

Knowledge, skills and abilities

  • Project coordination skills, including coordinating schedules and logistics for projects, training and/or events

  • Strong decision-making skills, ability to take initiative, problem solve and plan within job scope

  • Ability to work independently and in a team environment

  • Exceptional communications skills

  • Ability to perform tasks under the direction of a variety of team members

  • Experience handling sensitive/confidential information and matters in a trusted and responsible manner

  • Comfort with remote-first collaboration practices and tools, including messaging (Slack or Teams) and video conferencing (Zoom or Teams)

  • Ability to prioritize work in a busy setting, proactively set objectives, manage time, and meet deadlines in a remote-first environment

  • Ability to apply policies/procedures and make decisions with general directions and guidelines

  • Experience with Project Management and Customer Relationship Management (CRM) software

  • Experience using AI tools to work more efficiently

  • Experience with other business process software is an asset, e.g. office tools (Microsoft 365, Google Workspace), booking systems (Bookings, Calendly), discussion (Slack, Teams), video conferencing (Zoom, Teams), transcription tools

Laridae provides financial support to its employees to support our remote work requirements, including a monthly tech stipend, annual reimbursements towards home office set up, monthly reimbursements for home office consumables, and paid licenses for all necessary software.

Occassional work outside business hours

  • You are able to work occasional evenings and weekends, if required by clients’ schedules
