Health Partners International Canada (HPIC) is a not-for-profit relief and development organization dedicated to improving access to medicine and improving health for vulnerable communities around the world. As the only charity licensed by Health Canada to handle donated medicines, HPIC contributes to health and well-being by providing donated essential medicines and supplies, responding to emergencies, and strengthening local health systems. We partner with a network of non-governmental organizations (NGOs) and medical mission teams, with pharmaceutical and healthcare product companies, and with foreign and Canadian government departments.About the Position
Reporting to the Director of Programs, the Programs Coordinator, plays a key role in managing and expanding HPIC’s Humanitarian Medical Kits (HMK) program. This program provides essential medicines and medical supplies to healthcare professionals, NGOs, and medical mission teams working in underserved communities.This role requires strong program coordination skills, relationship management, and frequent use of Microsoft of MS Dynamics 365 (D365) to manage inventory. The Program Coordinator will also coordinate the HMK packing days, ensuring a meaningful experience for corporate and community volunteer groups supporting HPIC’s mission.
The ideal candidate is highly organized, detail-oriented, and passionate about global health. Success in this role requires the ability to manage multiple priorities, engage effectively with partners, and ensure the smooth coordination of humanitarian medical kit shipments and volunteer activities.
Location: Oakville, ON (Hybrid – combination of remote and in-office work).
Key Responsibilities
Humanitarian Medical Kits (HMK) Program Management
- Coordinate the full lifecycle of the Humanitarian Medical Kits program, from partner engagement to shipment.
- Use D365 to track orders, shipments, and GIK inventory related to the HMK program.
- Work with the Corporate Partnerships team to ensure adequate inventory levels.
- Liaise with healthcare professionals, NGOs, and Canadian mission teams to assess needs and determine kit allocations.
- Ensure all kits meet quality standards and regulatory requirements.
- Collect impact reports from partners.
- Identify opportunities to improve program efficiency and expand outreach.
Partnership Management
- Develop and maintain relationships with NGO partners, Canadian medical mission teams, and healthcare professionals.
- Conduct due diligence in partner management, including vetting, agreements, and accountability measures.
- Research and engage new partners to expand HPIC’s reach and impact.
- Ensure proper monitoring and reporting on all shipments and initiatives.
Networking & Representation
- Represent HPIC at external meetings, workshops and events.
- Contribute to the development of program materials such as fact sheets, presentations, and reports.
- Occasionally travel to project sites and assess program impact.
- Diploma or undergraduate degree in a relevant field (e.g., supply chain, global health, international development, business administration, or related discipline) OR equivalent work experience.
- Experience in project coordination, medical supply chain, volunteer program management or community outreach is an asset.
- Strong written and verbal communication skills in English (French is an asset).
- Experience using Microsoft Dynamics 365 (D365) for inventory and program tracking.
- Proficiency in MS Office Suite (Word, Excel, Outlook, Teams, etc.).
- Good analytical thinking, organizational skills, ability to prioritize and meet deadlines problem-solving abilities, and keen attention to detail.
- Ability to adapt to shifting priorities and manage multiple tasks effectively.
- Willingness to travel internationally on occasion.
