Program Coordinator, Volunteer Experience - Dress for Success Toronto
Dress for Success Toronto® is part of a global movement for change. We are a local affiliate of an international not-for-profit organization operating in over 150 cities in 30 countries. Since 2009, we have helped over 15,000 women in the GTA transition from unemployment to economic independence. We work together with agency partners, corporate sponsors, individual donors, and dedicated volunteers to create real impact in women’s lives.
Volunteerism is a driving force in the success of all DFS Toronto programs and services. In addition to the contributions of dedicated volunteers who make our dynamic Boutique Experience Program possible, volunteerism is a meaningful avenue for our job-seeking clients to build competencies, confidence, and community. Reporting to the Manager, Programs this role provides essential support to a small but mighty staff team and plays a direct and significant role in achieving our mission.
We are looking for an experienced, motivated, and dynamic individual to oversee our robust Volunteer Program, including day-to-day program operations, corporate employee engagement visits, and supporting an Ontario Trillium Foundation (OTF) Seed Grant pilot program: Volunteer Engagement & Job Search Resources for Newcomer Women. The successful candidate will be self-directed, a critical thinker, and a compassionate individual with exceptional interpersonal, communication, and relationship building skills. This individual will also have a keen interest in and ability to promote respectful, safe, and effective experiences between clients and volunteers.

Duties and Responsibilities
Volunteer Program Oversight (50%)
- Ensure smooth delivery of Volunteer Engagement Cycle including recruitment, training, communications, performance management, and recognition of all volunteers
- Facilitate 2-3 check in meetings/year and plan appreciation events (virtual & in person)
- Direct supervision of donations, inventory, and corporate volunteer tasks and priorities
- Engage in cross-team collaboration to delegate tasks and responsibilities as needed for capacity-building initiatives across the organization (e.g. work closely with Manager, Programs to support Boutique Experience volunteers)
- Maintain handbook and supporting documentation to capture process changes and updates
- Identify tasks and needs related to student placement opportunities
Administration & Reporting (30%)
- Oversee volunteer schedules and track hours in designated software (VOME)
- In collaboration with Programs Team develop content for monthly Volunteer newsletters
- Identify program trends, needs, and requests through regular feedback surveys
- Prepare monthly snapshots for program engagement metrics, activities, and impact
OTF Pilot Program for Newcomer Women (20%)
- Collaborate with OTF Program Lead to support and track participant journey
- Work closely with Volunteer Toronto staff partner to assess external engagement experiences
- Oversee Career Specialists and onsite Project Support Volunteers
- Data collection and program reflections for final report and OTF Grow Grant application
Required Skills and Experience
- 2-3 years’ non-profit experience coordinating programs, event planning, and engaging volunteers (working with newcomer women an asset)
- Proven ability to set priorities, apply planning and analytical skills, and complete work with minimal supervision to prioritize tasks and meet goals and deadlines
- Warm, friendly and patient with excellent listening skills; comfortable navigating conflict
- Results-oriented demonstrating great initiative, while contributing to a safe and welcoming environment that values and encourages agency and dignity
- Passionate about supporting women from diverse backgrounds and lived experiences
- Capacity to work efficiently and within a multidisciplinary teams virtually and in-person
- Ability to efficiently communicate insights/updates with volunteers and staff members
- Digital knowledge and comfort learning new software programs
- Available to work a flexible schedule, including some evenings and weekends
