Payroll Specialist

Permanent - Full-Time

Salary Range: $65,000 - $75,000

The Payroll Specialist is responsible for managing and processing the school’s payroll accurately and timely. This role requires a high level of accuracy, confidentiality, and attention to detail. The Payroll Specialist works closely with the Human Resource team and assists with a variety of human resources activities in the school, second to payroll. The Payroll Specialist works in a procedural, consensus-building manner with the BSS community in keeping with the School’s vision, philosophy and strategic plan.

What You'll Do:

Payroll

  • Prepares, administers, processes and maintain the monthly and biweekly payroll, including all remittances and filing as well as the files and documentation in a timely manner (approximately 300 employees)
  • Maintains accurate payroll documentation by collecting, calculating, entering, and saving required data
  • Verifies timekeeping records and consults employees/managers about any discrepancies
  • Verifies all payroll documentation and follows regular verification practices to ensure accuracy
  • Provides assistance as necessary for all internal and external audits related to payroll
  • Issues manual ROE’s for faculty and electronic ROE’s for all other employee and responds to Service Canada inquires 
  • Completes year end process and reconciliations, T4, and tax reporting requirements

Data Governance

  • Maintains and updates employee payroll records and ensures data integrity in payroll and HRIS systems.
    • Manages payroll and HRIS records in ADP, including entering changes for new hires, terminations, leaves, address changes, timesheet entries, and other status updates.
    • Creates and maintains employee files in ADP and SharePoint.
    • Updates myBSS records by entering changes to all employees and maintains the staff directory on the HR group
  • Collaborates with HR Manager to prepare payroll and HRIS reports, summaries, analytics and metrics
  • Supports and updates data related to the Time Off module in ADP for all employees and managers

Other

  • Handles inquiries from employees, government agencies and other organizations regarding employee work history and earnings information
  • Provides employment letter verification for employees as requested
  • Assists with internal communications in our staff bulletin notices
  • Assists in the application of human resource policies
  • Distributes HR download Training to new and existing employees 

Who You Are:

  • Experience processing full cycle payroll including T4 processing
  • Experience using ADP considered an asset
  • Active National Payroll Institute member
  • Working knowledge of employment legislation, payroll regulations, human resources functions and policies 
  • Proven track record of handling sensitive information with integrity and confidentiality
  • Proficiency in payroll software, Google Suite and Microsoft Office Suite
  • A growth mindset of continuous improvement and learning
