Partnerships and Events Coordinator - Hybrid 

Annual Salary: $50,960 

Employment Type: Full time (0.9 FTE) permanent 

Number of Hours per Week: 31.5 hours/week 4 or 5 days/week  

Typical office hours are 8:30am – 4:30pm, Monday to Friday, however BCRPA has a flexible working environment. 

Location: Hybrid. In-office Wednesdays and remote or in-office other workdays. Must be available in-person as operationally necessary including partnership meetings, conferences, events, and training. Office location is #200-475 Georgia St W, Vancouver BC V6B 4M9. 
 
Position Description:

The Partnerships and Events Coordinator at British Columbia Recreation and Parks Association (BCRPA) is responsible for creating and cultivating sector revenue building relationships to support our key conferences, events, programs, projects and other professional development initiatives including but not limited to our four annual professional development conferences: 
  • Parks Professional Pathways (February)  
  • Symposium (May) 
  • BCFit® (September) 
  • Empower YOUth, and on alternating years, Ripple Effects (November) 
This role will lead the planning and execution of ongoing partnership development focused on increasing and diversifying revenue streams into the organization focused on sponsors, exhibitors and other corporate and sector partnerships.  
 
A typical day would involve: 
  • Creating budget estimates for conference tradeshows includes exhibitor and sponsor product pricing. 
  • Reaching out to past event sponsors and exhibitors to inform about upcoming events and their next event participation 
  • Cold calling potential new exhibitor and sponsor contacts 
  • Finding creative new ways to onboard exhibitors and sell sponsored products 
  • Supporting the program & conference teams with planning of sponsored social events, panel presentations and other program pieces 
  • Updating contact & relationship management lists related to events or partnerships 
  • Reviewing marketing materials 
  • Setting up sponsor and exhibitor online registration and website portals  
  • Providing client support via email, phone and at in-person events 
  • Drafting sponsorship agreements and send invoices 
  • Working together with event managers to organize conference tradeshows  
  • Coordinating the annual sponsored awards processes and committees 2X/year 
  • Building and supporting new and existing revenue-sharing and advertising partnerships 
  • Supporting the Director, Engagement and Communications, and other colleagues as required   
Your role at events & conferences: 
  • Manage tradeshows as the main point of contact for sponsors, exhibitors and other vendors 
  • Trouble shoot exhibitor arrival and booth set-up, and as needed throughout conference  
  • Organize and support sponsored social events on-site and other program pieces 
  • Organize on-stage delegate prize draws 
  • Work together with Event Managers on-site to ensure event runs smoothly 
  • Expand relationships with sponsor & exhibitors through in-person support  
You would describe yourself as someone who:

  • Has strong interpersonal skills including a demonstrated ability to develop and cultivate partnerships and collaborative relationships  
  • A quick learner and a collaborative colleague who enjoys being part of a team and can work independently 
  • Has excellent financial and operational planning, coordination and tracking  
  • Enjoys detailed project planning and management, priority and goal setting, and tracking multiple targets and deliverables  
  • Is adept at working with partners who may have unique priorities and needs
  • Finds ease with creative problem solving and isn't afraid to propose innovations or creative solutions 
  • Is inquisitive, curious, and driven to improve 
  • Enjoys working with other fun, positive and dedicated professionals  
You have: 
  • At least 2 years of experience in sales, marketing, prospecting, or relationship or client management  
  • A relevant undergraduate degree in event management, business administration, recreation administration, leadership or communication  
  • Expertise in planning, management and coordination of projects involving a variety of colleagues, stakeholders, and committees 
  • Experience managing budgets, including processing invoices and writing reports 
  • A high level of Proficiency in computer skills (Microsoft Office Suite) with the ability to navigate around content data management systems
