Operations Coordinator - Broadbent Institute
The Broadbent Institute is seeking a parental leave replacement for a period of 18 months, starting on August 25, 2025 for the position of Operations Coordinator. This full time position reports to the Senior Director of Strategy and Operations and is responsible for administrative, operational, financial and support functions within the organization. This position is located in our downtown Ottawa office and the Operations Coordinator is expected to work from the office.

Key responsibilities:
The overall responsibility of the Operations Coordinator is to facilitate the daily operations of the Institute to ensure a smoothly run organization.
Administrative and Operational Duties:

Performs administrative duties for Ottawa office including staffing reception, intake of mail, phone calls, e-mail requests etc

Maintains inventory lists of Institute equipment and supplies

Monitors and as needed orders office supplies, equipment, telephones, etc.

Assists Executive Director and Senior Director with Board of Directors meetings

Provides support to Executive Director for scheduling and travel arrangements

Manages access to and list of subscriptions and accounts for Institute
-
Administers petty cash

Works with the Senior Director and Program and Events Assistant to coordinate travel and accommodation logistics for events and agreements with vendors

Undertakes other duties and special projects for Broadbent Institute of a nature consistent with the above responsibilities and assist with other areas of work as required
Financial Duties:

Responsible for the administration and maintenance of the Institute’s ACH and PAP systems, as approved by the Senior Director

Generates invoices, accounts receivable and accounts payable reports

Tracks expenses and income according to GL codes in budget

Works in collaboration with bookkeeper to ensure financial files are up to date within Quickbooks and Dropbox

Assists accountant or bookkeeper as required in preparation of monthly financial statements

Maintains and updates electronic financial filing systems, including tracking of individual donor cheques, online folders of bank reports and deposit information for accounting purposes, and online filesharing folders.

Deposits cheques weekly

Provides support for the annual financial audit

Provides support to the Development department in the tracking and invoicing of organizational donations

Works with the bookkeeper to manage the financial tracking of Institute credit cards, including:

Assigning codes and uploading statements for monthly credit card charges

Upload supporting receipts provided by staff for credit card to Dropbox.

Uploading and sharing monthly bank statements

Qualifications:

Commitment to the Broadbent Institute’s vision and mission

Knowledge of office management systems and procedures

Experience with QuickBooks or similar accounting and bookkeeping software

Experience providing logistical support for events, including booking travel, accommodations, and liaising with vendors

Superior proficiency in office productivity suites, such as Microsoft Office

Experience and proficiency using collaborative software such as Google Workspace, Slack, ZOOM

Strong interpersonal skills, excellent written and verbal skills

Ability to drive and possession of a full G license is an asset

Fluency in French is an asset

Employment Details:
This is a full-time unionized contract position governed by a collective agreement between the Broadbent Institute and UFCW 1006-A. Most of the Institute’s operations are conducted in English. Given the roles and responsibilities of this position, working out of our Ottawa office is a requirement.
The starting salary of this position is $54,000 - $60,000 annually. This position requires daytime hours of work with expectation of evening work during key annual events.
