Midwifery Clinic Administrator

Location: Scarborough, Ontario

Salary Range: $55,000yr - $58,000/ yr.

Available to start as soon as possible

We are a Black Serving non-profit organization,who is searching for a committed Midwifery Clinic administrator to oversee the day-to-day operations of our midwifery clinic. Reporting directly to the Executive Director, you will play a vital role in ensuring the smooth day to day operations of our clinic and providing exceptional service to our clients. The ideal candidate will possess outstanding organizational and communication skills, meticulous attention to detail, and a genuine commitment to supporting the delivery of compassionate and holistic midwifery care.

Key Responsibilities:

  • Deliver exceptional customer service as the primary point of contact for all patients within the clinic

  • Perform a wide range of administrative tasks, including answering phone calls, responding to emails, and managing correspondence

  • Greet patients warmly and professionally upon arrival

  • Coordinate appointment schedules and optimize coverage for clients by managing midwives' schedules

Medical Records Management: Maintain accurate and up-to-date client records, including intake forms, and consent forms. Ensure compliance with data protection regulations and maintain confidentiality of client information.

  • Attend weekly practice meetings to offer updates, reports, and suggestions for process enhancement

  • Support quality improvement initiatives of the clinic

  • Supervise and provide training for volunteers and co-op students

  • Assist in arranging meetings and workshops for midwives and other healthcare professionals

Financial Management: Bookkeeping: recording financial transactions, maintaining financial records, and ensuring accuracy

  • Accounts Payable and Receivable: Managing payments owed to suppliers/vendors (accounts payable) and payments received from patients or insurance companies (accounts receivable)

  • Ensure not for profit financial best practices are maintained

Onboarding:

Preparing Onboarding Materials: Creating or gathering necessary documents, forms, and materials for new hires, volunteers and co-op students, including employment contracts, policies, and procedures manuals

Orientation Sessions: Conducting orientation sessions to introduce new hires to the medical office's mission, values, culture, and policies. 

Training Coordination: Coordinating training sessions for new hires to ensure they receive the necessary knowledge and skills to perform their job responsibilities effectively. 

Marketing & Communications: 

  • Assist in managing the clinic's website and respond to inquiries and reviews

  • Assist with marketing efforts such as managing social media accounts, engaging posts and stories

  • Help create documents, handouts, flyers etc.

  • Help maintain positive relationships with community partners and referral sources.

Qualifications:

  • Experience in healthcare administration, business administration, or a related field preferred

  • Hands-on experience with EMR (Electronic Medical Record) systems is an asset. The clinic currently uses Accuro EMR.

  • Advance knowledge of MS office software such as; Word, Excel, Outlook, Teams

  • Familiarity with PHIPA regulations and patient confidentiality

  • Strong organizational and multitasking abilities

  • Excellent written and verbal communication skills with an empathetic approach

  • Ability to work independently and collaboratively in a team environment

  • Flexibility to adapt to changing priorities and time-sensitive tasks

  • Experience working with and/or lived experience within the Black community is valued
