Position Summary
We are seeking a motivated and detail-oriented Human Resources (HR) Assistant to support the Manager of Human Resources in providing effective and robust HR support to WCS Canada, a rapidly growing conservation organization with a passionate team of conservation science staff. various administrative tasks. The ideal candidate will have excellent communication skills, a strong work ethic, and a passion for helping others. This is a new role to the organization that provides an exciting opportunity for an early career HR professional to expand their HR generalist skills from the ground up with a rapidly growing organization.

Human Resources Assistant plays a key role in fostering effective communication, building relationships, and contributing to efficient HR service delivery. In addition, this role will support in streamlining HR processes, assist with projects as needed. This position will support key HR functions, including recruitment processes, employee onboarding and offboarding, benefits administration, employee relations, Diversity, Equity and Inclusion (DEI) and operational tasks.

This position will report to the Manager of Human Resources and be a member of the core WCS Canada Finance and Operations team.

Position Objectives
  • To provide administrative support to the Manager of Human Resources.
  • To support HR informaton data accuracy and integrity
  • To ensure that human resources policies, procedures and practices are compliant with the relevant regulatory environment in all jurisdictions in Canada where we work.
  • To contribute to providing a respectful and confidential HR environment, and to ensure WCS Canada values are reflected in all HR practices.
Principal Responsibilities
Generalist
  • Assist with coordinating training and development programs, including tracking attendance, completion, and feedback.
  • Support the annual staff performance evaluation process.
  • Maintain and update employee records in database and HRIS, including employment contracts, benefits information, and training records to ensure accuracy and compliance with legal requirements.
  • Coordinate meetings of the Joint Health and Safety Committee (JHSC) and Employee working Groups and take minutes.
  • Other related duties as assigned.
Recruitment, Onboarding and Offboarding
  • Assist with full cycle recruitment, including review of job descriptions, posting job openings, screening resumes, scheduling interviews, correspondence with candidates and conducting reference checks.
  • Support onboarding processes for new employees, including orientation and training coordination.
  • Assist with the Offboarding process, including changes in database and HRIS, scheduling exit interviews and benefits administration.
Employee Relations
  • Contribute to the development and implementation of HR initiatives, programs and policies.
  • Timely respond to employee inquiries regarding HR policies, benefits, and procedures and escalate to the Manager of Human Resources as needed.
  • Support employee benefits administration and assist employees with questions or issues related to their benefits.
  • Support the development and implementation of HR initiatives and programs to enhance employee engagement and retention.
  • Provide administrative support for the probationary review and annual performance review process, including documentation and correspondence to staff.
  • Assist in organizing employee events and activities to promote a positive workplace culture.
Diversity, Equity and Inclusion (DEI)
  • Contribute to the implementation of WCS Canada’s DEI strategy, in collaboration with the Manager of Human Resources.
  • Contribute to creating a diverse, equitable and inclusive workplace that promotes engagement and belonging.
  • Coordinate meetings of the Diversity, Equity, Inclusion, Justice and Accessibility (DEIJA) team and take minutes.
Required Qualifications/Skills/Experience
  • A post-secondary diploma or degree in Human Resources Management, Business Administration, or related field.
  • Minimum of 2 years' experience in a HR related role.
  • A commitment to advancing Diversity, Equity, Inclusion, Justice, and Accessibility in the workplace.
  • Strong organizational and time management skills.
  • Demonstrated ability to work independently and as part of a team, managing multiple priorities in a fast-paced environment.
  • Excellent problem-solving skills and attention to detail.
  • Demonstrated ability to handle sensitive information with discretion and confidentiality.
  • Experience working with a HRIS.
  • Excellent verbal, written and interpersonal communication skills.
  • Proficient in MS Office Suite (Word, Excel, PowerPoint), MS Teams and SharePoint.
Other Desirable Qualifications/Skills/Experience
  • A passion for wildlife and wild places.
  • Knowledge of employment legislation and best practices in HR.
  • Experience in the non-profit sector is a plus.
  • Experience in a similar position preferred.
  • Project Management Professional Certification is a strong asset.
  • Experience with employee recognition platforms is an asset.
  • Bilingual (English and French) is a plus.
