Position summary

The Gifts & Donor Services Administrator is responsible for processing donations, primarily for our new Peer-to-Peer event, along with our Direct Mail program, in accordance with the Foundation policies and procedures, and ensuring the accuracy and integrity of data for donations received. In addition, through their donor services efforts, they will help build and maintain meaningful connections and respond to the needs of donors and prospects aligned with, although not limited to, the Foundation’s Peer-to-Peer event and various other fundraisings efforts.

Responsibilities

Coordination and Administrative Support

  • Create and update records related to the administration of our Peer-to-Peer event, along with direct mail and, as required, monthly gift processing.
  • Track information received according to established timelines and ensure processing is completed in a timely fashion.
  • Update and store business files to ensure they are accurate and accessible for others.
  • Support the team on administrative activities to implement objectives, notably relating to our Peer-to-Peer event and monthly giving.
  • Complete correspondence to donors of our Peer-to-Peer event, direct mail and monthly giving programs as well as, in their donor services function, the broader donor community as required.
  • Support as first point of contact for basic donor questions and concerns that are specific to our Peer-to-Peer event.
  • Provide back-up to the Donor Services Associate, fielding general donor/stakeholder questions and concerns that range from specific in relation to our many fundraising programs, to more general Foundation-related questions; triage and/or redirect requests as required.

Project/Program/Operational Support

  • Responsible for ensuring accurate entry, printing and distribution of information received from internal and external sources into the appropriate systems, employing PaperSave as appropriate.
  • Data entry, leveraging when able PaperSave workflows, and ensuring data is accurately and in its entirety captured in the appropriate system and alert stakeholders in the event that information is missing or inaccurate.
  • Responsible for preparing required management reports/spreadsheets related to Peer-to-Peer gift processing as required.
  • Comply with security backups and regular check-ups to ensure the safety of the data being stored in our systems, in particular the Fundraisin platform.
  • Process different types of gifts, primarily focusing on Peer-to-Peer gifts via Fundraisin, but in addition, direct mail, Luminate Online and TeamRaiser, monthly and gifts made by phone.
  • Access gift-related documents and paperwork to verify accuracy of information and ensure accurate and timely input of information in the Foundation database.
  • Assist in evaluating and updating the operating procedure documents related to Peer-to-Peer gift processing to increase productivity and quality assurance of gift processing.
  • In their donor services capacity, support general phone inquiries and donations, identifying, collecting and recording in the appropriate systems the required information to support related actions.

Requirements

  • A relevant 2‐year diploma or an equivalent combination of formal education and relevant experience in gifts process and donor services.
  • 3-5 years working with professional fundraising staff, volunteers and/or donors; strong preference for experience in hospital foundation or similar complex non-profit environment.
  • Proficiency in the full suite of Microsoft Office products and internet tools
  • Experience with Raiser’s Edge and Fundraisin platform, or similar fundraising CRM/online platforms, required.
  • Knowledge of PaperSave an asset.
  • Knowledge of fundraising professional standards and ethics.

Work Environment

  • Fast pace, service and results oriented environment.
  • The Foundation has a hybrid work model. Staff will be required to have a safe home office set-up 3-4 days per week and will be in office for 1-2 days per week, (specifics to be planned with your manager.)
  • Ability to work cooperatively with colleagues in all positions throughout the Foundation.
