The Executive Assistant is a key position at Nature Canada providing administrative support to the Executive Director; coordinating and managing logistics for the Board of Directors and Annual General Meetings, and managing operations at the Nature Canada office. This position will be in-person at our office located in downtown Ottawa.
Job Description and Duties

Report to the Executive Director (ED)
-
Provide administrative support to the Executive Director including:
-
manage calendar, schedule meetings and respond to meeting requests
-
Help coordinate the work of NGO coalitions, including minutes
-
Ensure action items are delivered on
-
Organize travel logistics- flight/train, expenses, cars, provide printed material
-
Assist in document preparation, research
-
Manage expense reports
-

Provide administrative support to ED in order to support the Board of Directors including:
-
Help organize Board Meetings and support board members and committees
-
Timely preparation and delivery of meeting materials
-
Minute taking of: Board meetings, Annual General meetings, Committee/Working group meetings

Provide support for expense reimbursement and travel logistics
-

Provide Reception and Office Administration
-
General office reception
-
Responsible for monitoring general correspondence inbox, direct emails to the appropriate staff, respond to general inquiries
-
Responsible for answering and screening calls on main line, transfer calls to the appropriate staff and respond to general inquiries

Maintenance of office and kitchen supplies
-
Coordinating IT support
-
Supporting workplace culture and the hiring process, onboarding and offboarding
-

Other duties as assigned
Summary of Qualifications and Experience
The successful candidate will have some combination of the following:
-
College diploma, university degree, or 5-10 years of relevant experience working for a not for-profit in a responsible administrative or programmatic role.

Ability to work in English and French is an asset.

Exceptional organizational and communication skills.
-
A proven ability to respond professionally to written materials as required.

Computer literacy including Adobe Acrobat, Asana, Slack, Google Docs and Business Suite.

Ability to prioritize job tasks, problem solve, and focus on deadlines.

Strong team player with excellent interpersonal skills.

Salary
The salary range for this position is $60,000-75,000/year, depending on experience, with a competitive benefits package and 4 weeks paid vacation.
