Title: Executive Assistant 

Type: Permanent, Full-time (35 hours per week)

Location: Metro Vancouver Area

Salary Range: $45,000 - $50,000

About this Opportunity:
  • Support the CEO primarily and provide additional support to executive team members, as directed, to ensure that organizational goals and objectives are accomplished and that operations run efficiently.
  • Maintain and refine internal processes that support the effective delivery of mission objectives, and coordinate internal and external resources to expedite workflows.
  • Manage effective Governance communication by liaising with the Board of Directors and ensuring open, responsive, and timely engagement.
Areas of Responsibility:
  • Manage professional scheduling for the CEO, including meetings, agendas, email, phone calls, etc.
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to other staff and to the Board of Directors.
  • Manage CEO’s travel logistics and activities, including accommodations, transportation.
  • Provide administrative and support, such as documentation of operating processes, administrating access to corporate applications (Slack, Zoom, 1Password, Google Workplace, Canva, etc.)
  • Maintain a digital filing system and digitize archived files. 
  • Maintain professionalism and strict confidentiality with all materials. 
  • Support Board of Directors operations through the generation of meeting agendas, invitations, and the taking of notes and minutes. 
Experience Requirement:
  • Experience in an administrative role reporting directly to upper management.
  • Excellent written and verbal communication skills. 
  • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects.
  • Proficiency with office productivity tools and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of information.
