Position Summary
Achēv is seeking a dedicated and experienced Coordinator to support and supervise the Integrated Employment Services (IES) team in delivering high-quality Employment Ontario services. This role is key to ensuring the smooth operation of all IES components, aligning with funder agreements, and supporting organizational goals. The IES Coordinator will report directly to the Manager and supervise operations at the site level while fostering a collaborative and client-centered environment.
The successful candidate will be a strong collaborator who thrives in a fast-paced environment and can lead a team of dedicated staff of up to 15 individuals who are focused on helping job seekers find meaningful employment. The coordinator will inspire high performers within an environment of psychological safety and kindness. They can diffuse tense situations and find positive solutions to complex problems and are well-known as a trustworthy person. The coordinator enjoys being onsite with their team daily and are willing to occasionally work remotely and/or travel between sites to attend meetings or support client events as needed.
Key Responsibilities:
Operational Oversight
- Coordinate and support IES program activities including intakes, clients served, and job starts.
- Monitor quality and consistency of file management across systems (EOIS CAMS, FFAI, and internal CRM, others)
- Ensure monthly, quarterly and annual targets are met in alignment with guidelines.
Team Leadership
- Recruit, onboard, and train IES staff in collaboration with the Manager of Employment Services.
- Provide coaching, supervision, and performance management for direct reports
- Manage scheduling, payroll data entry, and staffing coverage for site.
- Facilitate regular team meetings and training sessions to enhance service delivery.
Financial Administration
- Track and report site-level cashflows
- Track and report expenditures related to client supports and placement incentives.
- Collaborate on budget planning with management
Reporting & Evaluation
- Prepare and submit annual, quarterly and monthly performance reports to management
- Analyze data from databases (CAMS/FFAI other) to inform service improvements.
- Collect and review feedback to support continuous improvement processes
Community Engagement
- Build and maintain relationships with community stakeholders
- Promote IES services through outreach, marketing, and events.
- Develop and implement an annual outreach plan to enhance program visibility.
Site Management
- Conduct monthly health and safety audits and manage site maintenance.
- Ensure staff and client safety in accordance with Achēv policies.
- Respond to incidents and equipment issues promptly.
- Support remote service delivery as needed.
- Liaise with building management as needed
- Report and communicate site updates to Achev leadership promptly
Other duties as assigned.
Qualifications
- College diploma or university degree in a related field
- Minimum 2 years in a supervisory role, with preference given to 1–2 years in IES coordination.
- Demonstrated effective leadership and team-building abilities
- Excellent communication skills; French/other language proficiency is an asset.
- Strong time management and organization skills
- Strong knowledge of CRMs used for Employment Ontario programs with preference given to experience with EOIS CAMS, CaseFlo and FFAI
- Familiarity with local community services and networks
- Proven budgeting and financial management skills
- Proficiency in Microsoft Office tools, Outlook, and other Internet-based communication tools
- Proficiency in using online employment portals
- Flexibility to work occasional evenings, weekends, or split shifts as needed
- Flexibility to work remotely as needed
- Ability to travel between service sites occasionally based on operational needs
This role requires an in office presence 4 days a week.
