Location: Our office is located in Toronto, Ontario; however, flexible / hybrid work arrangements are available.
Reports to: Senior Manager Philanthropic Operations & Stewardship

About the position:
CFCC is looking for a meticulous and organized Donor Relations administrator who will be responsible for managing administrative duties of all aspects of donor relations and administration. Working closely with and reporting to the Senior Manager, Philanthropic Operations and Stewardship (SMPOS), the Donor Relations Administrator will provide donors with the highest level of customer service and administrative support in their philanthropy efforts.
Responsibilities
Gift Administration

Executes the gift acceptance process for all donations and grants, including gift processing, maintenance of donation records, and tax receipting as per CFCC Policies and Procedures.

Processes donations in Salesforce including pledge payments, cash and online gifts, soft credits and tributes and ensuring they are linked to opportunities.

Uploads and reconciles all third party payments, including Canada Helps, Benevity, United Way and Paypal

Works with the Development and Finance team to ensure completeness and accuracy of gift data

Generates all tax and business receipts through Salesforce in a timely and accurate manner that is aligned with CFCC guidelines

Manages the process of generating acknowledgement letters, as necessary, and receipts as well as producing and sending tribute cards.

First point of contact for phone or email fundraising inquiries

Works collaboratively with Senior Manager, Philanthropy Operations and Stewardship to ensure monthly reconciliations are accurate and complete
Fundraising Systems & Platforms administration

Coordinates the coding of campaigns and appeals in Salesforce and Engaging Networks

Maintains all documentation related to Development policies, business rules and standard operating procedures

Works closely with the Salesforce Administrator, performs data hygiene projects on a timely basis, data entry for new prospects/donors as required.

Ensures all gift agreements, relevant donor communications are uploaded to Salesforce and with opportunities created and payment allocations align with donor agreements.

Supports the donor moves management of the CEO and CDCO by updating tasks, meetings, notes and opportunities in Salesforce.

Works with Development Officer, Community Giving to provide accurate and timely lists for annual giving mail and email campaigns.

Works with the Development team to provide accurate and timely lists for donor events.

Builds and maintains dashboards for the CEO and CDCO.
Development related Administrative and Campaign Support

Provides administrative support to Chief Development & Communications Officer and Chief Executive Officer (for work that pertains to fundraising); including booking meetings with donors and senior level volunteers and preparing all meeting materials.

Works collaboratively with the CDCO and the Senior Manager Philanthropic Operations & Stewardship to support the donor strategy meetings through maintaining the funnel report, drafting agenda, taking minutes and ensuring donor information is entered into Salesforce.

Supports ad hoc prospect research and coordination in support of CEO and CDCO
Qualifications

2-3 years of experience; preferably in a nonprofit organization, private or community foundation with a history of working with donors, committees, and boards.

Strong technical skills and experience with data entry, reporting, and maintenance of fundraising software including Salesforce and Engaging Networks.

Strong interpersonal skills and a desire to actively contribute to a positive, collaborative work environment

Ability to take joy in meticulous organization and attention to detail

Knowledge of office-related responsibilities, systems and procedures

Demonstrates excellent organizational and time management skills, including prioritizing work

Strong computer skills and proficiency in Google Workspace (Google Suite), MS Office (Word, Excel) and Adobe Acrobat Pro

Bachelor’s degree in related discipline and/or equivalent work experience;
