Reporting to the Senior Officer, Events, the Coordinator, Events is responsible for planning and coordinating logistical aspects for key fundraising events and leading on implementation for specific initiatives. This position also has responsibilities around reporting, analysis and process development and improvement. This role is primarily focused on our Signature Events (Vancouver and Victoria Offleashed Galas & Fur Balls). This role also supports the Vancouver Lock-In for Love and may support/act as a resource for additional events for the Community Giving and Engagement team, and across the organization as required.
This position is based out of the BC SPCA Provincial Office in Vancouver (Hybrid); however, working effectively from home/off-site will also be required.

The role of Coordinator, Events:
The successful candidate will:
- Lead on specific aspects of stage programming, including event video content and coordination of video production (talent, location, videographer, etc).
- Maintain event resources such as document templates.
- Build and manage each event’s online ticket & auction system and manage guest lists
- Work with the events team with vendor, volunteer and staff management
- Take a leadership role during events
- Taking a team lead role on-site during each event (from initial set up to post-event clean up) and acting as back up when event lead is unavailable.
- Develop work plans for various events, including procurement of supplies, coordinating with various teams on logistics, providing event day support and assisting with the coordination of offline donations and receipting.
- Ensure all event revenues and expenses are tracked and donor information is accurately uploaded into Raiser’s Edge in a timely manner
- Manage auction and raffle prize inventory and import content to auction platform (currently Givergy).
- Build and maintain tracking for sponsorship and donation prospect/solicitation, sponsorship deliverables, and assist with deliverables when required.
- Assist with the production of digital and print materials, including updating design files and some basic asset creation. Support with creation of program/video elements.
- Lead, with input from Senior Officer, Events, on drafting and sourcing content from internal and external contacts for communications (stories, photos, and videos).
- Draft, prepare and send event eblasts and update event websites, including working with the Data Assets team, to build and maintain distribution lists for mailings and eblasts.
- Develop and maintain relationships with industry peers while committing to continued education, learning and innovation.
- Committed to making the BC SPCA a provincial not-for-profit leader in the event space.
- Contribute to the growth of a culture of health & safety and volunteerism.
While every day is different, a day in this role might include:
- Speaking with vendors to ensure that event day needs are fulfilled
- Taking meeting minutes and noting action items for various event meetings
- Managing guest lists and assisting with seating charts
- Reviewing event websites and making changes and adjustments as needed
- Building design assets for upcoming events
- Tracking revenue and reporting on trends or risks

What skills have you developed?
- Post-secondary education, plus a minimum of two (2) years’ experience in fundraising and events, or an equivalent combination of education and experience acceptable to the employer.
- An understanding of events and fundraising strategy, efficiency, and best practices and how fundraising events can best achieve their goals is an asset.
- Experience with project coordination, including the ability to work proactively and efficiently, be well organized, set and manage competing priorities, establish procedures, manage external contractors, meet overlapping deadlines, and problem-solve in an agile, innovative, fast-paced environment with only broad direction.
- Demonstrated ability to:
- Work collaboratively on shared projects with individual responsibilities, and multiple priorities.
- Network and cultivate external relationships.
- Exercise judgement, identify potential challenges and opportunities, and bring forward solutions.
- Gather data, calculate metrics, and perform some analysis.
- Communicate clearly and respectfully at all levels with a diverse audience (both oral and written).
- Perform with exceptional attention to detail.
- Proficiency with:
- Microsoft Office Suite (required).
- Databases/CRMs/Digital Engagement Platforms such as Raiser’s Edge, MailChimp & Givergy (asset)
- Graphic programs, specifically Adobe and Canva (asset)
- Professional demeanor, attire, and presentation.
- Must be able to work some evenings and weekends and travel to different areas of the province as required.
- Must have a valid BC Class 5 Driver's License.
