What You’ll Be Doing

The Development Coordinator, Donor Relations is a vital position within Oakville & Milton Humane Society’s (OMHS) Development team, responsible for essential day-to-day administrative tasks, processing donations, issuing tax receipts, coordinating development programs (monthly donors, tribute gifts, Gifts that Give) and facilitating and executing stewardship activities for the Development team. 

The role is held by a highly motivated person who is passionate about making a positive impact and supporting the fundraising success of our organization. The ideal candidate is a determined, results-oriented individual with superior attention to detail and problem-solve skills. As the first point of engagement for donors, the Development Coordinator, Donor Relations has superior communication skills, genuinely enjoys working with and building relationships with people, is eager to learn and internally driven.

Responsibilities:
  • Provide outstanding customer service to community members including donors, sponsors and partners through various forms of communication, with a high volume of phone communication. This role is the first point of contact for donor-related inquiries for the development team
  • Coordinate and process all incoming donations as well as issuing tax receipts, with an excellent level of detail and accuracy
  • Coordinate ongoing execution of and adherence to OMHS’s stewardship plan, including stewardship mailings and action assignments
  • Administer the PAWS monthly donor program (upgrades, declines, changes, etc.)
  • Coordinate communication and follow-up procedures for In Memory or In Tribute donations
  • Coordinate and execute the Gifts that Give and Bingo programs
  • Engage and coordinate volunteers for development-related activities
  • View all interactions with donors/supporters as an opportunity to build and deepen relationships
  • Support programming and related tasks executed by the Development team
  • Actively participate and encourage the engagement of others in OMHS and community events
  • Collaborate with the development team in the growth and retention of supporters through various programs and initiatives
  • Ensure the integrity of all data entered in the donor database.
  • Ensure all funds raised are received and processed as per OMHS policies and Canada Revenue Guidelines.
  • Other Duties as requested and/or assigned.
What You Bring to the Role
  • Post secondary education and/or equivalent experience in customer service and database management.
  • At least 2 years experience in an administrative/data entry role in a customer relations field.
  • Familiarity working in a customer/donor database, with expertise in Raiser’s Edge being highly desirable
  • Proficiency in the use of Microsoft Office Suite
  • Demonstrated track record of attention to detail and the completion of tasks and projects
  • Knowledge and experience of the charitable and not-for-profit sector an asset
  • Excellent oral and written communication skills for effective professional correspondence and team collaboration

This position typically involves working in a shelter environment with exposure to animals of various species and sizes. It may require occasional evening, weekend, or holiday hours to accommodate the needs of the organization. The job may also involve physical tasks such as lifting, bending, and standing for extended periods.

As a primary relationship building role for the organization, the Development Coordinator, Donor Relations will be in-person, attending events and supporting teammates on a daily basis.

Job Type: Full-Time, Permanent  

Wage: $26.53 per hour + Benefits

Schedule: 35 hours per week, Monday to Friday, morning/afternoon shifts and afternoon/evening shifts as required. Can include some weekends for events.
