Database and Fundraising Systems Administrator - Oakville & Milton Humane Society

JOB SUMMARY: The Database and Fundraising System Administrator is responsible for overseeing the management, optimization, and administration of the organization's CRM and digital fundraising platforms. This role involves ensuring data accuracy, system integrity, and efficient operations to support the organization's fundraising and stakeholder engagement activities. Additionally, the Administrator is tasked with ensuring the seamless and accurate flow of all donation data into our primary CRM system. This role is critical in maximizing the effectiveness of our CRM, monitoring data accuracy, and developing insightful dashboards to support data-driven decision-making. The ideal candidate possesses strong analytical skills, proficiency in data analysis tools, a keen eye for detail, a passion for problem-solving, a commitment to driving data-driven initiatives, and a donor-first approach to fundraising.

REPORTS TO: Director of Development

RESPONSIBILITIES:
• Develop a solid understanding of the existing CRM system (Raiser’s Edge); assess the current platform structures and organizational needs and recommend enhancements to improve efficiency and effectiveness.
• Collaborate with cross-functional teams to understand business requirements and provide data-driven solutions.
• Recommend and implement new methodologies and structures to meet the current and future fundraising needs of the shelter.
• Troubleshoot issues and manage relationships with technology vendors.
• Utilize data to track activities, pull lists, generate queries, and support a robust direct mail campaign.
• Understand, evaluate and manage date flow from online platforms into Raiser's Edge.
• Develop a process for pulling large data sets for direct mail appeals as needed.
• Gather and clean large datasets from various sources to ensure accuracy and reliability through quality control.
• Monitor the accuracy of data input into the CRM system.
• Conduct regular audits to ensure data integrity.
• Ensure data input complies with CRA, privacy, and audit requirements.
• Design and develop comprehensive reports, dashboards, and visualizations to present data findings for fundraising events and campaigns for daily, weekly, monthly and annual analysis.
• Utilize statistical techniques and data analysis tools to identify trends, patterns, and correlations within the data.
• Manage the transition and implementation of a new digital fundraising platform
• Master digital fundraising platforms to manage configurations for campaigns, events, and tax receipting

QUALIFICATIONS/EXPERIENCE:
• Education: Bachelor’s degree in mathematics, Statistics, Computer Science, Economics, or a related field.
• Proven experience in creating dashboards, data analysis. Experience with Microsoft BI and Raiser’s Edge is preferred.
• Experience: interpreting and reporting results of analysis, and experience in data processing and file management
• Technical Proficiency: Exceptional proficiency in Microsoft Office applications and business intelligence software, demonstrating expert-level efficiency. Database and Fundraising Systems Administrator
• Driver's License and Vehicle Access: Possession of a valid G license with a clear Driver's Abstract and access to a vehicle.
• Background Checks: Successful clearance of a Criminal Background Check is mandatory.

TRAINING:
• Fulfills all required training within required timeframe.
• Completes all training required by the province and/or other regulating authorities.

This role is primarily office-based but may occasionally involve working in a shelter environment with exposure to animals of different species and sizes. It may require occasional evening, or weekend, hours to accommodate the needs of the shelter campaigns/ events.
