Vancouver Foundation’s office is located on the second and third floors of a building with an elevator for access to the office, and an accessible, single-stall, gender-neutral washroom that includes a shower. Vancouver Foundation has a hybrid working model, with both work from home and in-office options available to staff. These options are position dependent.

About the Position

The Strategic Granting (SG) team effectively and transparently moves the majority of funding to community in the Grants and Community Initiatives (GCI) department. The Coordinator, Granting is responsible for providing coordination and administration support throughout the entire granting process. This includes executing multi-year grant programs, supporting prospective and current grantees, coordinating grant application and adjudication processes, and community reporting.

This position requires both specialist and generalist skills, with an eye for detail while understanding the higher strategic goals and impacts of the department.

Main Responsibilities

Grantmaking
  • Proficient user of the grantmaking software (currently SmartSimple) including entering information and updates, troubleshooting internally and externally, and producing reports
  • Supports grant seekers in application process (inquiries and online support)
  • Receives, validates, reviews, and assigns proposals for internal review
  • Acts as a liaison with Finance as necessary on grants requests, expense submissions, grant payment reporting and process
  • Monitors grantee files in grants management database and ensures data integrity
  • Supports committee adjudication, including Community Advisor adjudication process involving communications, meeting coordination and logistics, ongoing learning opportunities and technical support as required
  • Monitors grantmaking practices to ensure compliance with administrative policies and procedures, and able to identify process improvements across GCI 
  • Proactively identifies opportunities for improvement; shares ideas and provides recommendations accordingly
  • Acts as a liaison to other teams within GCI and other departments at VF
Administration and Engagement
  • Receives internal and external inquires related to GCI’s work and redirects and/or corresponds directly as appropriate
  • Supports central mailbox activities for granting programs
  • Produce reports and documents; research background information; extract, organize and present data
  • Processes invoices and payments as needed for the department
  • Updates website content as required in collaboration with Communications team
  • Produces written and verbal presentations to Advisory and Board Committees, and other relevant community stakeholders in collaboration with Manager
  • Supports management team with special projects as they arise
Desired Experience/Education/Skills

Education/Experience
  • Minimum one year experience in administering granting processes
  • Minimum one year experience in Not-for-profit and/or social purpose organization in a paid or volunteer capacity
  • Experience in providing administrative support for major projects/programs/events
  • Experience in complex environments that demand priority-setting and balancing competing interests and needs
  • Demonstrated ability to work with diverse communities at various levels (from grassroots organizations to government ministries)
Skills/Attributes
  • A quick learner with a natural curiosity and desire to ask questions
  • Strong technical skills include the ability to use a range of software applications
  • Occasional weekend and evening hours may be required

Accountability

Reporting to Director, Strategic Granting

Salary

$67,100 annually (prorated to contract length) plus pension and a generous and comprehensive benefits package. 

Hours of Work

35-hour work week, Monday – Friday, primarily Monday to Thursday, occasional Fridays.

Location
