Position Summary
The Communications & Event Coordinator is responsible for developing and maintaining CPF BC & Yukon’s communications profile, including website content, social media management, and e-newsletters. The role also includes planning and executing events such as the annual AGM & Conference, annual advocacy breakfast, virtual events, and the BC & Yukon Concours d’art oratoire competition.
The Concours d’art oratoire is a significant part of the role, requiring focused event coordination between November and May each year. The coordinator will manage all aspects of the provincial semi-final event, working closely with schools, volunteers, and participants.
This position reports to the Executive Director of CPF BC & Yukon.
This is a hybrid position, and the coordinator will be expected to commute to Vancouver during office days as well as other locations as needed.
Roles & Responsibilities
1. Communications (40%)
- Manage CPF BC & Yukon’s social media accounts, ensuring engaging and informative content is shared regularly.
- Develop and update website content, ensuring information remains relevant, clear, and visually appealing.
- Research and prepare monthly Chapter Updates and All-Member communiqués.
- Create materials that outline CPF BC & Yukon’s position on issues, including fact sheets, briefing documents, and advocacy resources.
- Copy edit materials to maintain clarity and consistency across all communications.
- Oversee communications for CPF-led initiatives such as the Membership Drive, AGM & Conference, and Concours d’art oratoire.
2. Event Coordination (30%)
- Plan and execute CPF BC & Yukon events, ensuring smooth delivery and high-quality experiences.
- Organize event logistics such as speakers, special guests, venues, promotional materials, and entertainment.
- Recruit, train, and manage volunteers for events, ensuring a positive experience.
- Oversee event registrations and develop event schedules.
- Establish and maintain relationships with key partner organizations, sponsors, and advertisers.
- Conduct post-event evaluations and provide recommendations for future improvements.
3. Concours d’art oratoire Coordination (November – May) (30%)
- Plan and execute the BC & Yukon semi-final Concours d’art oratoire, using the existing framework and staff advisory support.
- Engage with school districts and schools, providing information and encouraging participation.
- Recruit, train, and manage volunteer judges, ensuring a well-organized event.
- Act as the primary contact for the event, responding to inquiries in a timely and professional manner.
- Manage event budget and track financial benchmarks.
- Liaise with key partner organizations, sponsors, and stakeholders to enhance the event’s reach and success.
- Troubleshoot and manage any issues that arise on event day.
- Prepare a post-event report with analysis and recommendations for future improvements.
- Develop a step-by-step guide for event succession planning.
Qualifications & Requirements
- Demonstrated experience in event coordination (e.g., competitions, conferences).
- Excellent time management and communication skills.
- Strong ability to build and maintain productive relationships with stakeholders.
- Proficiency in social media management and content creation.
- Experience managing websites (WordPress experience preferred).
- Demonstrated proficiency in Excel and other administrative tools.
- Experience managing budgets for events and projects.
- Experience with virtual event management is an asset.
- Proficiency in French is an asset but not required.
- Submission of references is required upon request.
Work Environment
