Communications & Engagement Specialist - University of Toronto Graduate Students' Union

The UTGSU is currently seeking organized and detail-oriented candidates for the position of Communications & Engagement Specialist. The Specialist is expected to facilitate the planning and implementation of a communications and membership engagement strategy for the students’ union representing graduate students at all three campuses of the University of Toronto. The Specialist will regularly work on maintaining and reviewing digital and physical communication channels, assisting with content creation and design, and assisting the Executive Committee in programming and outreach planning.

This is a full-time position based in downtown Toronto, Ontario. The 2024-25 work plan includes three days in the 16 Bancroft Avenue office and two remote work days. This is a unionized position with CUPE Local 1281. The University of Toronto Graduate Students’ Union is a separate entity from the University of Toronto.

Responsibilities:

Communications Strategy

  • Develop and maintain an overall communication strategy for the UTGSU.
  • Adhere to and maintain the UTGSU Brand and Style Guide. Assist in the facilitation of onboarding and training for team members to adhere to the guide.
  • Prepare and disseminate a weekly digest to email listservs and coordinate the logistics and maintenance of UofT and UTGSU email listservs.
  • Coordinate and update the UTGSU website on a regular basis. Maintain consistent formatting, appearance, and accessibility standards.
  • Maintain UTGSU social media accounts, including content creation and scheduling, managing insights and triaging social media communications and requests.
  • Organize, source, and order print and promotional materials, and prepare required print-ready artwork files.
  • Assist with the creation of print and digital materials, including artwork and layout.
  • Assist in developing social media campaigns and strategies along with the UTGSU Executive Committee.

Programming & Executive Support

  • Organize Orientation activities including planning UTGSU events and information fairs, creating and disseminating information packages, and other general assistance for graduate student orientation.
  • Assist in the coordination of programming and collaborations with the School of Graduate Studies, Grad Life Office and academic departments.
  • Assist UTGSU committees and caucuses in their programming, communication and activities.
  • Assist the Executive Committee in implementing a media relations strategy, including assistance in preparing and coordinating media kit, releases and responses.

Further duties are outlined in the Collective Agreement between CUPE Local 1281 and the UTGSU.

Job Qualifications

  • College diploma or University degree, preferably in communications, design, marketing or public relations. Given the organization’s membership, a graduate degree is considered an asset. 
  • Demonstrated design capabilities and experience with various web, graphic design and content management and/or customer relations management platforms including: Adobe Design Suite, Hootsuite, Mailchimp, Wordpress, and Google Workspace.
  • Experience in managing social media and Wordpress platforms, which includes content creation, insight analytics and return on investment generation.
  • Excellent copywriting and editing for web and print communications.
  • Demonstrated ability to work independently and as part of a team.
  • Demonstrated ability to work well under pressure, with flexibility to adapt to changing working conditions and short timelines, and manage multiple projects simultaneously.
  • Strong interpersonal skills and commitment to upholding principles of equity and anti-oppression.
  • Familiarity with working within a post-secondary students’ union, or similar non-profit organizations will be considered an asset.
