Camp Director - Knox Presbyterian Church
- Ideally, a 2-year commitment (2025 and 2026 camp seasons)
- Part time from March 1st (flexible, and will be discussed in interview)
- 40 hours a week from May 1st through August 31, 2023
- Part time through September 2024
- Compensation is $19/hour + 4% vacation pay
About Knox Camps
Knox Camp is a ministry of Knox Presbyterian Church. It is a community-focused program designed to be accessible and affordable for families of all income levels and backgrounds in the local neighborhood. Over the course of seven weeks each summer, we provide a safe, enriching, and high-quality experience for children between the ages of 4-14.
Role Summary
The Knox Camps Director oversees all aspects of Knox Camps. They set the season up for success by hiring a stellar camp staff team with the support of Knox’s Camp Pastor, as well as overseeing the leadership in all aspects of the camp program.
Our Knox Camps Director should be familiar with what it takes to run a Christian camp and have proven experience working with children. This role requires someone who is highly competent with administrative tasks as well as providing leadership and guidance to a team of camp staff. The Director sets the spiritual tone and creates a safe environment by enforcing camp rules and regulations. They have sound decision-making and will escalate complex issues to our Pastor of Kids, Youth and Camp ministries as required, to ensure the safety and well-being of all involved.
The Camp Director reports to & is supported by the Pastor of Kids, Youth and Camp Ministries.
Responsibilities
Camp Program
Camp
To oversee all aspects of the camp program (Biblical content and spiritual tone, activities, health & safety, camp rules and regulations)
Staff Training and Team Meetings
One week of training for the Lead Team followed by 3-4 weeks of camp prep. One week of training for the Camp Leaders, Daily Team Meetings (before and after camp).
Camp Reunions
Once a year, in September following the Knox Welcome BBQ.
Staff Oversight
Hiring
Oversee the hiring process with support of the Pastor of Kids, Youth and Camp Ministries
Lead Team (3), Camp Leaders (6-8)
Training
Oversee the training of the Leaders (Primary Resource: Knox Camp Manual, Knox Camp Training Modules, Knox Staff)
Evaluation
Assist the staff in setting goals, provide ongoing encouragement, and evaluation of the Knox Camp Ministry prior to, during, and after camp. Ensure that the Lead Team have ongoing check ins with the Camp Leaders
Administration
Budgets & Invoices
Following the approved budget for the current year and working with the Kids, Youth, and Camp Pastor and Director of Finance to keep the budget and to ensure the payment of invoices, transfer of itemized receipts to the Finance Team, and providing financial updates to the camp team etc.
Staff Administration
To oversee the administrative aspect of the hiring process (collection of applications, reference checks, setting up job interviews, entrance interviews [re: expectations, staff contracts, payment schedule and exit interviews with Camp Staff and Pastor of Kids, Youth, and Camp Ministries])
Staff Manual
To update Camp Manual in preparation for the new season.
Camper Fees
Oversee the collection of camper fees via online registration system, camper scholarships, and provide Finance Team with end of camp reports as needed.
Database & Web Updates
Ensure the maintenance of updated records in the Camp Database for campers, LITs and Staff (Volunteer and Salaried) and communicate what needs to be updated on the website (knowledge of Squarespace or Planning Center, is a plus). Update website at end of camp.
Correspondence
Work with Pastor of Kids, Youth, and Camp Ministries to ensure proper information is provided to parents. This may include: Camper/LIT/Staff emails, information for registered campers, receipts, etc.
Camp Brochure/Postcard
With assistance from the Communications Manager, create and distribute camp postcards in the church and neighbourhood.
Post-Camp
Updating the Knox Camps Manual for future years, deep clean-up, laundry, assembling of photo albums and photo slideshow with Lead Team, and submit end of summer report
Other tasks include but are not limited to:
- Ordering t-shirts for staff (this includes editing files and placing the order).
- Contacting other churches to advertise.
- Creating a discipline policy with the staff team and upholding it.
- Overseeing the making of weekly recap videos (acquiring video footage and images and processing those).
- Being a mediator between the Finance Team and Camp for our budget and finance.
- Available as a resource of intervention.
- Approval of Bible content, schedules, trip days, and other aspects of camp.
- Take lead for on-boarding and training week (a template will be provided in the Knox Camps Manual of what to include).
- Initiate booking first aid training for staff.
- Weekly emails to parents that outlines the week and lists what their child needs to bring.
- Being a presence around all aspects of camp.
- Ensure time sheets are kept.
- Staff devotions and prayer before camp
- Run Camp Staff meetings and meet for check-ins with supervisor.
Qualifications
- Applicants must be aged 19 and over
- Current, clear Vulnerable Sector Screening
- Exhibit a Christ-like love for children and their families
- Has a personal relationship with and commitment to Jesus Christ, and a passion to serve
- Prior camp leadership experience is an asset; completed LIT at a Christian camp is also an asset
- Must have prior leadership experience working with children and supervising staff
- High capacity to thrive in a complex and demanding camp environment
- Excellent problem solving skills
- Attention to detail with an understanding of administration, organizational systems, workflow, events, and scheduling activities
- Upbeat and relational - enjoys interfacing with families, parents, youth and children, as well as the community at large
- Able to work effectively in a multi-staff, team setting
- Excellent oral and written communication skills
- Proficient computer-related skills
