JOB POSTING: Bookkeeping and Finance Technician (75% FTE)
LOCATION: Preference for Ottawa – remote-first work environment
REPORTING RELATIONSHIP: Reports to the Finance Manager
CONTRACT PERIOD: This is an indefinite 75% of full-time position, with an ideal start of mid-September
HOURS: Three eight-hour days a week, flexibility for which days and hours are scheduled
COMPENSATION: $45,515 – $48,330, plus 6% RRSP matching and comprehensive health benefits

JOB SUMMARY:
Reporting to the Finance Manager, the Bookkeeping and Finance Technician is responsible for providing bookkeeping and finance administration support for all aspects of CAN-Rac. The position will be responsible for initial preparation of a variety of bookkeeping and financial administration tasks. The Bookkeeping and Finance Technician will also contribute to the continued growth of CAN-Rac through the effective analysis of expenses and cash flows.

JOB RESPONSIBILITIES:
1. Bookkeeping – 45%- Prepare monthly bank and credit card reconciliations
- Assist with maintaining up to date accounting records and financial reports in QuickBooks Online
- Allocate expenses to funders and recognize revenue using deferral accounting
- Maintain budget tracking spreadsheets to assist team managers’ decision making
- Frequently monitor bank and credit card accounts for irregular transactions
- Compile data needed for budget reports to funders
- Assist the Finance Manager with various tasks for completing the annual fiscal year audit
- Prepare invoices for all funders, donors, and other sources of revenue
- Receive and organize all invoices for expenditures
- Prepare purchase requests for the Finance Manager’s review
- Process payments to vendors and contractors
- Assist all team members with preparing expense reports
- Directly communicate with vendors and contractors to resolve issues
- Maintain a calendar of upcoming travel and work with the operations team to ensure that all employee travel bookings are made on a cost-efficient timeline
- Maintain organizational finance functions when the Finance Manager is on vacation
- Other duties as assigned
- Regularly analyze cash flows and identify opportunities for temporary investments of excess cash
- Monitor accounts payable and accounts receivable balances, ensuring efficient payment and collection timelines
- Investigate vendor options for significant purchases and compile data on costs
- Monitor expense trends for cost-savings opportunities
QUALIFICATIONS:
- Must be eligible to work in Canada full-time
- Languages – English required
- Education/Experience – Post-secondary diploma or degree in a related field (accounting, bookkeeping, business administration), plus 1-3 years of work experience in an accounting or bookkeeping position OR equivalent level of progressive related work experience in lieu of post-secondary education with a minimum of five (5) years of related work experience
SPECIFIC KNOWLEDGE / SKILLS:
- Extensive experience with bookkeeping and/or accounting
- Some experience with non-profit accounting
- Understanding of deferral method accounting for multiple funders
- Familiarity with QuickBooks Online or other similar programs
- Introductory experience with Microsoft Excel or Google Sheets
- Working knowledge of cash flow management
- Languages – English required
- Experience working in organizations with frequent employee travel is an asset but not required

COMPENSATION
Indefinite 75% of full time (.75 FTE) position starting at $45,515 – $48,330 annually along with a 6% matching RRSP program. Following the successful completion of the three-month probationary period, generous group health benefits are provided. Annual cost of living adjustments and potential performance based increases are implemented March 31st of each year.
