Awards Specialist & Administrative Support The Abbotsford Community Foundation (ACF) is a non profit charitable organization that acts as a grantmaker, charity collaborator, convener, and capacity builder in our local community. Since its inception, ACF has invested over $18 million back into community - supporting everything from student awards, to flood recovery, to at risk and vulnerable populations, to our agricultural sector, and animal welfare.

ACF is looking to fill a F/T (35 hrs/week) permanent Student Awards Specialist and Administrative Support role. This position offers a pay range of $24-$26/hr (commensurate with experience) and comes with a comprehensive benefits package. Reporting to the Executive Director or her designate, the Awards and Administrative Support individual provides administrative support to our small but mighty team and helps coordinate the planning and delivery of our Student Awards Program. This is a job where we rely heavily on Foundant's Community Suite software and great relationship skills to provide excellent support and service to our donors, charitable partners, and other committee members. Paying attention to the details and being able to multi task while maintaining a sense of calm and order is critical to this role.

Responsibilities:

  • Student Awards Program (approx. 50% of the role)
    • Support the coordination of the Student Awards Program per established protocols
    • Create and update all awards documentation annually
    • Process all student awards applications and award claims
    • Maintain updated fund agreement binders and ensure database is updated as appropriate
    • Support donor stewardship and act as a point of contact for all things Student Awards
  • General Administrative Support (approx. 35% of the role)
    • Coordinate all reception and general admin tasks such as mail processing, board room calendar bookings, general inquiries, filing, database entries, etc.
    • Responsible for maintaining the Petty Cash box, reporting and reconciliation
    • Maintain checklists and workflow processes as required including updates for Admin manual
    • Deposit physical donations, following established protocols
    • Work with volunteers on various admin projects such as digitalization of files
    • General office maintenance including acting as point of contact for vendors, repair contractors, safety compliance tasks, etc.
    • Ensure all staff have key and FOB access as appropriate
  • Other (approx. 15% of the role)
    • Assist with marketing and event planning as needed
    • Update website as needed
    • Other duties as assigned
Qualifications
  • At least 1 year of experience as administrative support within an organization (ideally a non profit or charity) including a strong understanding of database management
  • Excellent attention to detail, strong written and oral communication and warm interpersonal skills
  • Able to work independently and as part of a small but dynamic team
  • Able to learn new software for records tracking and donor stewardship
