Associate Executive Director - Warden Woods Community Centre

SUMMARY: Reporting to the Executive Director, the new Associate Executive Director is responsible for building a strong team across departments, fostering an anti-oppressive, progressive organizational culture and strengthening community impact. As a member of the senior leadership team, the Associate Executive Director is a key interface between Programs, Operations and Administration, with direct responsibility for leadership of the organization’s Human Resources Function, Communications/Community Relations, as well as providing backup and support to the Executive Director. Direct reports include 2-7 staff members. This new role interacts with all internal departments, and provides leadership, vision and strategy around evolving organizational needs, while strengthening staff capacity and organizational culture. The Associate Executive Director will embody organizational values and lead Warden Woods in the implementation of its mission as a neighbourhood-based, multi-service community centre.

ESSENTIAL JOB ACTIVITIES AND RESPONSIBILITIES: The Associate Executive Director assumes the following responsibilities under the direction of the Executive Director and in collaboration with other members of the leadership team and staff.

Vision & Strategy
Inspiring Leadership. Provide effective and thoughtful leadership by building strong relationships with stakeholders at all levels of the organization including community members, staff teams, community partners, volunteers, funders, and the Board while continually reinforcing the Warden Woods mission, vision, and values.
Strategic Vision. Participates in the development of the organization’s vision and assists in the implementation of the strategic plan across departments. Supports planning and budgeting for future programming, staffing, infrastructure and system needs that will help the organization more effectively carry out its mission with a focus on continual quality improvement.

Staff Development
Staff Growth. Oversees recruitment, on-boarding, selection, probation assessments, hiring and training, for unionized and non-unionized staff members. Develops attraction and retention strategies and plans. Develops and delivers skills development programs to strengthen the team and organization.
Professional Development. Foster a workplace where staff are continually learning and growing together. Identify and implement training and development opportunities for all staff to address gaps in function and approach, building an ambitious workplace culture and enhancing our team’s professional capabilities.
Performance Management. Structure and implement regular staff evaluations, ensuring an intentional, transparent and proactive evaluation and development process across departments.
Effective Team Functioning. Work closely with department leads to develop productive, efficient and harmonious teams across departments.

Program Impact  
Program Operations. Work with program leaders to strengthen organizational and program systems and spaces through effective communication and strategic planning.
Program Impact & Evaluation. Work with teams to evaluate programs and increase impact and effectiveness in line with organizational goals.
Policies & Practice. Develop and implement policies and procedures that reinforce Warden Woods’ values, promote a healthy and accountable workplace, and increase organizational effectiveness.

External Relations
Partnership Development. Strengthen partnerships to reach organizational goals and priorities.
Stakeholder Relations. Support and maintain essential pathways of communication related to current/potential funders and partners, funding contracts, service contracts, elected officials, and other stakeholders.
Fiscal, Fundraising & Communications. Work with leadership team to fulfill budget requirements responsibly. Collaborate to develop organizational fundraising and communications activities including messaging and materials, grant proposals, solicitations, tours, external meetings, fundraising reports, and relationship-building.

Other Key Responsibilities:
Remain informed of best practices regarding community centre operations and approaches, administration, workplace culture, and capacity building.
Remain informed of requirements imposed by funders, regulators and other sources that impact our work.
Support effective Board functioning and member communications.
Perform other tasks as assigned.

QUALIFICATIONS:
To perform this new and critical role successfully, the Associate Executive Director must be able to fulfill all essential elements of the job to a high standard, and be able to work collaboratively and effectively in an ambitious, passionate environment. Qualifications for this role include:
  • Experienced non-profit leader with a minimum of 5 years’ experience in a leadership position, integrating multiple departments/program areas.
  • A bachelor’s degree in human resources, non-profit/business administration or a related discipline is generally required.  An equivalent combination of education, training and experience will be considered.
  • Experienced people manager with a proven track record of leading essential HR functions (recruitment, hiring, supervision, evaluation) within a community-based nonprofit. Formal HR training is an asset.
  • Strong leadership and decision-making skills including the ability to engage, motivate and lead diverse groups to new levels of effectiveness and programmatic impact.
  • Strong emotional intelligence and reliable ability to coach, mentor, relate and listen to stakeholders.
  • Demonstrated ability to be a strategic, thoughtful and creative collaborator with the ability to prioritize and communicate goals and tactics necessary to achieve organizational goals.
  • Demonstrated ability and passion to work from an explicitly Anti-Racist and Anti-Oppressive framework, and to recognize, challenge and change the systems of privilege and oppression that present barriers to great work and great workplaces.
  • Solid working knowledge of essential non-profit financial management requirements (budgeting, monitoring, following financial policies).
  • Knowledge of Southwest Scarborough communities and infrastructure is an asset.
  • Exceptional written, oral and presentation skills in English, exceptionally organized and consistent.
  • Past experience in program evaluation, knowledge in nonprofit evaluation methods and approaches.
  • Superior project management, organizational, teamwork and interpersonal skills.
  • Demonstrated computer expertise with Microsoft Office tools, database systems and current applications.
  • Self-motivated, results driven, detail oriented, and adaptable.
  • Must successfully pass a criminal background check.
Must be passionate about Warden Woods’ Vision, Mission, and Values, and the evolving direction of the organization to meet community needs and interests. PHYSICAL DEMANDS: The employee is required to move around a range of spaces within our buildings, sites and community, lift and carry objects up to 30 lbs, and drive organizational vehicles.

WORKING LOCATION: Full-time on-site work in Southwest Scarborough is a must.

HOURS AND BENEFITS: Full-time exempt position. Hours as required to support 24/7 operation with a requirement for occasional weekend and evening hours. Comprehensive health/dental benefits, LTD with contribution and optional RRSP matching.

Salary range based on key qualifications: $90k - $100k
