Advancement Officer, Alumni Relations - St. Michael's College School
Position Available:
The Advancement Officer, Alumni Relations is key to the ongoing engagement of alumni with St. Michael’s College School’s activities and programmes. This person works to support the development of alumni relations and related events, work meant to keep relationships strong and healthy.
The Advancement Officer, Alumni Relations, promotes and assists in organizing events such as annual class reunions, Homecoming, Turkey Roll & Reunion, Alumni Information Series, and programmes such as mentorship and incentives. This role is an integral member of the Advancement Department.
In this role you will:
Programme Coordination:
- Manage, engage, cultivate, and steward the SMCS alumni portfolio.
- Search and research lost alumni
- Administer the Mentorship Programme, Virtual Alumni Information Series, Alumni In-person Networking, and other programmes as applicable.
- Build and maintain strong relationships with alumni, including:
- Develop and execute strategies to increase alumni engagement, foster lifelong connections, and drive fundraising support.
- Identify and qualify alumni prospects to build a robust fundraising pipeline and support volunteer engagement efforts.
- Assess alumni engagement, develop new programmes, and collaborate with key stakeholders.
- Lead and support the Alumni Association Executive Committee, ensuring effective governance and alignment with school leadership.
Relationship Management:
- Provide strategic support to the Alumni Association to help them create and build connections with fellow alumni, students, and friends, increasing school engagement and volunteer participation.
- Plan and implement key cultivation and stewardship events that engage alumni and other constituents (i.e. students, parents and friends).
- Manage alumni volunteer engagement at the school, including recruitment and training.
- Manage the Alumni Mentorship Programme monitor to ensure success.
- Manage the Alumni University Chapters by recruiting young alumni to continue to foster their SMCS connections at their chosen universities
- Track and update all department-initiated programme and event attendance records in the advancement database.
Communications and Promotion:
- Work with the Communications Department to develop and deliver an alumni social media strategy.
- Assisting with generating ideas, writing, and producing professional-quality social media content aimed at growing engagement on SMCS alumni’s social media channels, driving traffic to the alumni website, content and additional SMCS pages, and informing SMCS’s alumni community.
- Contribute articles, fact-checking, and research in the writing and publication of alumni publications (such as the Tradition e-newsletter and Blue Banner Alumni Magazine).
- Supports content development and timely updates for the school’s website.
Event Coordination:
- Organizes and leads alumni-specific events and assists with Advancement event planning and execution, together with other department members and volunteer committees.
- Secures sponsorship for events and ensures the cultivation of sponsor relationships.
- Ensure event logistics are well-executed and programmes flow smoothly, including coordinating booking venues/catering, registrations, seating arrangements, and speakers and their requirements.
- Coordinate postmortem event meetings to improve future events.
What you bring to this role:
- A commitment to the vocation of Catholic education as it is embodied in the tradition of the Basilian Fathers and the mission and vision of St. Michael’s College School.
- Completion of a post-secondary degree/diploma in a relevant field.
- 3-5 years of experience working in an advancement-type setting, including event coordination, or similar experience
- Experience working with database systems
- Experience working confidentially with personal and confidential data.
- Excellent written and verbal communication skills, including the ability to draft, proofread and edit a range of written material and to converse over the phone.
- Proven ability to work independently and collaboratively as part of a team.
- Excellent organizational and time management skills.
- Demonstrated ability to multi-task with strict attention to detail and deadlines. Able to work under pressure, prioritize, work with interruptions, and respond quickly to changes and requests.
- Ability to lift to a maximum of 50 pounds.
Assets include:
- Michael’s College School alumnus status
- Knowledge of the independent school environment and St. Michael’s College School in particular
- Experience with Blackbaud (RENXT, RE, BBMS) and Almabase
- Experience in planning and organizing events as well as working with volunteers
- Experience working on capital campaigns

Hours of Employment: This is a full-time, 12-month position.
Based on a 35-hour work week – Regular hours are Monday to Friday, 8 a.m. to 4 p.m.
Flexibility to work evenings and weekends as needed and arranged in advance.
This position works on-site at the school located at Bathurst St. and St. Clair Ave. W. in Toronto, unless an event dictates otherwise.
Rate of Pay: Salary is commensurate with experience, with a range of $60,000-75,000. Remuneration includes a comprehensive benefits package and access to the organization’s defined contribution pension programme.
