The Opportunity:
Branksome Hall is seeking an experienced Administrative Assistant to provide administrative support and expertise to the Head, Centre for Strategic Leadership (CSL), the Head, Talent Management and the Chief Financial Officer. This includes calendar management, arranging meetings and appointments, preparation of materials and presentations, processing expenses, responding to inquiries and liaising with internal and external stakeholders. The incumbent maintains confidentiality, is able to juggle multiple priorities and demands and is able to exercise the utmost discretion.
Reporting to the Head, CSL, and dotted line reporting to the CFO and Head, Talent Management, the Administrative Assistant also supports the activities within the CSL, including the scheduling and coordination of workshops and meetings, catering needs, liaison with external vendors, preparation of materials, and the activities within the Slingshot Innovation Academy (Slingshot IA), including registration, documentation, and communication.
Responsibilities will include, but are not limited to:

Support to Senior Leaders (Head, CSL, Head, Talent Management and CFO);

Calendar management of leaders, including coordinating and scheduling daily appointments;

Draft and distribute agendas and materials for meetings, and document meeting minutes when required;

Set up meeting spaces and coordinate refreshments or catering when appropriate;

Draft emails and correspondence on behalf of leaders as required;

Prepare, format and edit Board Reports, spreadsheets, and additional reports as required;

Prepare expense reports, cheque requisitions and manage credit card expenses and statement reporting;

Provide logistical support for Slingshot IA, as well as coordinate with vendors for materials and supplies related to the program;

Serve as a resource person for inquiries related to CSL, Human Resources and Finance.
Centre for Strategic Leadership Responsibilities:

Coordinate and schedule appointments, workshops and training sessions with constituent groups across the school;

Coordinate logistics for programs and workshops including booking spaces, sending invitations, arranging catering, and tech requirements;

Prepare presentation and handout materials; draft, consolidate, format and distribute as required;

Schedule individual coaching sessions with leaders within the Centre;

Liaise with external vendors or constituent groups, to schedule meetings, follow up, etc.
Qualifications, skills and experience:

Post-secondary training in a related field;

3-4 years’ administrative experience; experience in an educational environment is an asset;

High level of sound and independent judgment, initiative, discretion and confidentiality;

Superior oral and written communication skills, with the ability to engage with a range of stakeholders;

Strong time management, organization and multitasking skills;

Ability to prioritize tasks with minimal supervision;

Proactive, takes initiative, anticipates the needs of leaders;

Tech savvy and proficiency in MS Office and Google Suite.

Target Hiring Range: $45,100 - $56,300
