Customer Service Representative

Reports to: Sales and Marketing Manager

Status: Full Time, Permanent 

Founded more than 35 years ago, The Hanen Centre is a Canadian charitable organization with a global reach. Our mission is to provide parents, caregivers, early childhood educators and speech-language pathologists with the knowledge and training they need to help all preschool children develop the best possible language, social and literacy skills, including those children with or at risk of language delays and those with developmental challenges, such as Autism Spectrum Disorder, including Asperger Syndrome.

We fulfill our mission by:

  • Creating programs that teach parents, caregivers and educators how to promote children's language and literacy development during everyday activities
  • Training speech-language pathologists and the educators in early childhood programs to lead Hanen Programs and to use Hanen's child-centered approach in their day-to-day work with families and teachers
  • Being a trusted source of helpful information for professionals who support the efforts of parents and teachers in giving children the best start in life
  • Developing outstanding, practical, user-friendly learning materials that are based on current research in the field
  • Conducting leading-edge research on our programs

The Hanen Centre has an immediate opportunity for a Customer Service Coordinator. This position reports to the Sales and Marketing Manager and works closely and collaboratively with all members of the marketing department as well as the accounting and shipping departments.

Areas of Responsibilities:

Customer Service Support                           40%
Responsible for customer support including (but not limited to):

  • Responding to customer inquiries (in person or via telephone, email and mail) regarding product information, availability, delivery dates, shipping, returns, and general administrative issues
  • Liaising with the shipping department for tracking packages and dealing with shipping errors as they occur
  • Supporting Sales Coordinator by maintaining and updating contact records, as well as generate quotes, invoices and receipts for orders

Marketing Support                                         30%
Responsible for supporting the marketing department in marketing and communication planning and implementation including (but not limited to):

  • Assisting with sales campaigns and conference initiatives by creating discount codes, preparing and producing promotional emails and maintaining records for conference prizes
  • Maintaining and updating lead database and hosting records, preparing promotional emails and coordinating advertisements with speech and language and early childhood associations
  • Promo packages assembled and mailed as directed

Marketing Administration                           30%
Responsible for various tasks as required by the Sales Coordinator and/or Marketing Manager including (but not limited to):

  • Providing e-seminar support, including but not limited to entering e-seminar registrations into database (CRM) and liaising with registrants as needed
  • Marketing research as required

Key Requirements

  • Exceptional customer service skills
  • Working knowledge of Windows, Word and Excel software skills, familiarity with Outlook
  • Strong attention to detail and the ability to work on multiple projects in a fast-paced environment
  • Must have effective interpersonal skills; for communicating with confidence and courtesy, for developing excellent rapport with current contacts and potential customers
  • Post-secondary education (B.A. preferred) or equivalent experience
  • Exceptional written and oral communication skills
  • Experience with customer management databases preferred
