Reporting to the OLRT Project Quality Manager (PQM), the Quality Administrative Assistant will be responsible for providing administrative assistance to the balance of the quality team.

In the position of  Quality Administrative Assistant we would ask you to do the following:

  • Maintain registers/logs and trackers in relation to Quality Management
  • Send out registers/logs on a scheduled basis to the appropriate groups as designated by the PQM
  • Revise quality related documents to ensure it remains relevant, effective, and achieves mandated quality objectives and targets with the (PQM) inputs.
  • Draft monthly quality reports with the input from the Quality Manager.
  • Coordinate, input and track all site issues from the engineer of record
  • Schedule all audits with the appropriate groups as indicated by auditor and PQM
  • Track all audits, audit findings and prepare status reports if necessary
  • Prepare minutes of meetings
  • Maintenance of all documents related to control of Inspections, measuring, and test equipment.
  • Coordinate meetings as required
  • Attend Meetings as designated by the PQM
  • Provide on-going Quality System training presentations with the inputs from the PQM
  • Preparation of quality related submissions of documents to the City, to ProjectCo and to subcontractors in conjunction with the Document Control Department.

Required skills, knowledge and abilities:

  • Minimum 2 years of experience as an administrative assistant
  • Diploma in business administration or office administration an asset
  • You should be confident in your ability to use Microsoft Office ie. Word, Excel, PowerPoint.
  • You should be familiar with data bases and there uses
  • You have the ability to work with a team within an organization.
  • You are a go getter, problem solver and you are someone that is solution focused.
  • Comfortable talking to large groups as some training of systems may be required
  • You are able to work across languages and cultures and are able to promote the assets of a multicultural Project Team.
  • You are an effective communicator, orally and in writing.
