CPA Ontario is currently in search of a Members Coordinator who will report to the Membership Manager and be responsible for multiple high-volume and highly detailed processes and transactions in a complex, rules and standards driven regulatory and membership environment. The Members Coordinator interacts with both internal and external customers, and is responsible for data accuracy, quality and integrity, and timely and efficient processing of documents - primarily digital and electronic format - and developing strongly supported recommendations for regulatory decisions. Deliverables are executed with an exceptional level of service to membership and other stakeholders.

What You’ll Be Doing:
  • Participating in and supporting the annual regulatory processes, including the collection of the Annual Membership Dues, Continuing Professional Development Declaration, Annual & Triennial Audits and more. 
  • Drafting internal and external communications, including manual forms, decision letters, reviewing website content ensuring accuracy, professionalism, and timeline delivery.
  • Reviewing and making recommendations for all membership related applications and processes accurately and in compliance with regulations, bylaws, policies, and procedures within established timelines, utilizing sound judgement.
  • Reviewing and collecting required documentation, information and investigation results relating to the reporting of bankrupcies and insolvencies of members and coordinating files for management and Registrar review. 
  • Reviewing lists of members who have not met their annual obligations for suspensions or revocations by the Registrar as appropriate.
  • Reviewing and preparing files for the Membership Manager to review, and provide sign-off or recommendation for approval/denial on behalf of the Registrar.
  • Liaising with members, both external and internal, by phone, email and mail on various yearly applications and daily tasks and responding to membership inquiries and escalated member calls from Customer Service Center and other internal departments which will include inbound calls and outbound calls.
  • Working with other deparments within the organization to verify membership standing and assisting with the monthly packaging of membership and other award certificates. 
  • Identifying issues and trends, preparing summaries, memos, reports and making suggestions for issue resolution, while contributing to the continuous improvement of processes, policies and more. 
  • Acting as a subject matter expert and supporting departmental and organizational projects.
Who You Are:
  • A post-secondary graduate with a degree in Business, Office Administration or other related discipline. 
  • Experienced in a related field such as academic, membership, regulatory or professional services combined with knowledge of complex bylaws, policies and procedures. 
  • Technically savvy and knowledgeable in Microsoft Office (Word, Excel, Outlook and PowerPoint) and Microsoft 365 tools (Teams, SharePoint, OneDrive and OneNote); prior experience with Salesforce and Power BI are preferred. 
  • An excellent communicator (verbal and written) with a service-oriented mindset and the ability to interact with difficult individuals and situations with diplomacy, using sound judgement and discretion when issues should be escalated. 
  • Detail-oriented with the ability to manage data accurately for record-keeping and the efficient management of membership database systems.
  • Able to prioritize, multi-task and work well under pressure with high volumes of applications and accountability for meeting deadlines. 
  • Self-motivated and able to act on own initiative with independent work, while also collaborating within a team environment. 
  • Flexible and available to work overtime beyond regular hours when required.
