Education Coordinator, Exam Logistics (Contract)
CPA Ontario is currently in search of an Education Coordinator (Exam Logistics) who will be responsible for providing support to the Education team engaged in running examination centres for the Professional Education Program (PEP), Preparatory Program (PREP), and Common Final Examination (CFE). In this role, you will be performing various tasks related to the preparation, execution and follow-up of exams to ensure the accurate and efficient production and delivery of the examination process.
What You’ll Be Doing:
Overseeing and coordinating the process for packaging, shipping and receiving exams and supplies to and from designated exam centres, as well as managing contractor schedules.
Coordinating the unpacking processes and ensuring proper storage of supplies and retention of exam documents.
Supporting the exam set-up process at Toronto exam centres, including ensuring student exam labels are placed at desks according to the floorplan, posting seating signage, and distributing supply bins.
Assisting in the hiring and training of contractors prior to each exam.
Responding to student inquiries regarding the examination software and serving as an escalation point for any issues experienced at examination centres and resolving matters in a timely and efficient manner.
Assisting with email communications on behalf of the Education department for various programs, such as exam results release, non-payment of fees, notice of ineligibility and more.
Assisting in the drafting and review of exam policies and procedures and maintaining documentation.
Participating in ongoing process improvement in the department.
Who You Are:
A post-secondary graduate with a degree or diploma in Business Administration, Computer Science, English, Mathematics or other related discipline.
Experienced with administration and customer service combined with strong organization, time-management and problem-solving skills.
Technically savvy and knowledgeable in Microsoft Word, Excel (intermediate to advanced), PowerPoint, Outlook, SharePoint and Teams. Experience with Salesforce is considered an asset.
A strong communicator (verbal and written) with excellent interpersonal and customer service skills and the ability to work well under pressure.
Able to prioritize multiple deadlines and excel at time management combined with a high degree of attention to accuracy and detail.
Flexible and available to work outside of regular working hours when required, including early mornings, evenings and weekends and comfortable with working on-site in our Toronto office 5 days a week and travelling to exam sites within the Greater Toronto Area on a regular basis.
Able to handle physical demands which includes frequent lifting of boxes between 10 and 30 pounds.
