About the Pet Cancer Fund

The Pet Cancer Fund is a Vancouver-based organization whose vision is to increase the life expectancy and improve the quality of life of pets diagnosed with cancer. 

Estimates suggest the number of dogs and cats developing cancer every year is 12 million; roughly 6x the number of humans getting cancer yearly within North America. 

More needs to be done and as we set out to build a large team of distributed, animal-loving passionate volunteers to help our furry friends, we’re in search of experienced administrative team members to assist our management team in a wide range of requests. That’s where and how you can help us.


The Position: 

As a volunteer Administrative Assistant to a member of our management team, your volunteer time will be spent providing support in a working relationship that services the needs of various departmental managers. The Administrative Assistant would be assigned to a specific department and manager based on their existing work history and experience. You should be creative and enjoy working within a small, but very fast growing entrepreneurial environment that is mission-driven. The Administrative Assistant will assist their supervisor on a range of tasks including those of confidential matters that require discretion.


Duties and Responsibilities:

  • Completes a broad variety of administrative tasks for the manager including: composing and preparing correspondence that is sometimes confidential

  • Communicates directly, and on behalf of the manager, with Organization staff, volunteers, and others, on matters related to departmental initiatives.

  • Researches, prioritizes, and follows up on incoming issues and concerns as tasked by the manager, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.

  • Provides a bridge for smooth communication between internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.

  • Works closely and effectively with the manager to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place across the department and keeping them updated.

  • Duties include drafting letters, creating & sorting various calendars, correspondence, and other tasks that facilitate the managers responsibilities

  • Prioritizes needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion

  • Schedules and takes part in team conference calls, including taking and distributing minutes when required

About You: 

You have excellent administrative skills and enjoy helping to bring organization and structure to those you work with. You have the ability to exercise good judgment in a variety of situations, and possess strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Administrative Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. Being a team player with great communication and people skills is an absolute must. You have:

  • Excellent work tenure: 3 to 6 years of experience in administration, preferably in a non-profit organization

  • Strong organizational skills that reflect the ability to perform and prioritize tasks seamlessly, with excellent attention to detail;

  • Strong interpersonal skills and the ability to build relationships with various stakeholders including colleagues in the onboarding and orientation team, the broader HR team and with clients;

  • Demonstrated proactive approaches to problem-solving and ability to meet deadlines;

  • Excellent written and verbal communication skills to communicate with new volunteers and facilitate orientation sessions.

  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Google Drive, Adobe Acrobat, Zoom and Social Media web platforms.

  • This position is virtual and can be completed from anywhere in Canada or the United States.

  • This is a volunteer position and the time commitment is approximately 4-6 hours per week. 

  • Some projects are deadline dependent requiring more hours from time to time, flexibility is a must.

  • This is a volunteer position that could potentially lead into other roles within the organization.
