Registration Coordinator - Association of BC Forest Professionals

The Association of BC Forest Professionals is recruiting for a Registration Coordinator. In collaboration with the Deputy Director – Registration, the Registration Coordinator provides primary contact between the association and its prospective and existing registrants to become registered, or maintain existing professional registration. As an outward-facing position, this role works with all members of the registration team and interacts with other ABCFP business departments to develop and enact policies and procedures that ensure a fair, timely and thorough experience for registrants. This position also analyzes registration trends and provides reporting on registration statistics to the Deputy Director of Registration and the Registrar.

KEY RESPONSIBILITIES:

Trainee and Registrant Engagement

  • Coordinates:
    • Applications for new or transferring registrants, according to bylaws and policy;
    • Change of status requests for existing registrants;
  • Assists registrants and prospective trainees with any inquiries that relate to registration, including eligibility requests and interpretation of requirements
  • Provides primary communication, letters and responses to registrants on behalf of the registration team
  • Provides first line analysis and recommends actions concerning non-standard applications
  • Ensures that certificates are complete and delivered to registrants
  • Conducts outreach presentations to prospective trainees and/or registrants as assigned

Policy, Guidelines & Procedures

  • Implements and communicates existing policies for trainees and registrants as it applies to inquiries and variance requests
  • In collaboration with the registration team, supports policy and procedure review/development as they relate to registration

Operations and Systems:

  • Ensures the association client relationship management system (iMIS) contains full and accurate information about registrants, tracks all member changes, reconciles system
  • Creates and edits iMIS database queries (SQL Server IQAs)
  • Creates and maintains the iMIS AMS view for the registration department
  • Assists with ensuring that the association learning management system is functioning properly and responds to help requests as needed
  • Participates in the work of the credentials committee or related subcommittees as needed
  • Reviews and updates published information to the communications department in matters affecting registration
  • Validates accuracy of registration department information developed for public distribution
  • Creates and maintains forms, template letters and web page information related to registration
  • Collaborates seamlessly with other departments to administer organizational processes, special projects, etc.

Reporting

  • Produces monthly statistics and synopsis reports for presentation to Council
  • Analyzes registration statistics for strategic planning
  • Prepares statistics and trend analysis for the annual report or the Registrar

General Duties

  • Contributes to a high performing registration team

  • Complete other duties as directed

EDUCATION & EXPERIENCE:

  • Post-secondary diploma or certificate in relevant discipline
  • Minimum of 2 years of experience working in an office-based environment, providing administrative support relevant to the duties of this position
  • Preference for candidates with relevant experience working to register individuals into a regulatory body or like entity
