Programs Manager - The Mississauga Food Bank

PROGRAMS MANAGER

The Mississauga Food Bank’s (TMFB) vision is a Mississauga where no one goes hungry. We relieve hunger in Mississauga by providing and promoting access to healthy food for people in need.

 

Job Purpose

Implementation and oversight of Programs & Agencies strategy and initiatives. Day-to-day relationship management with and coordination of agencies including coaching, training, and ensuring quality service to food bank clients. Expansion and improvement of agency Network and programs.

 

Responsibilities

Agency Relations and Quality Assurance (30%)

  • Develop and maintain excellent working relationships with TMFB’s agencies (currently 47): 

    • Ensure concerns are addressed and needs are met
    • Conduct site visits with every agency, ensuring a TMFB team member meets with an agency representative on a minimum semi-annual basis
    • Educate and provide guidance to agencies on correct implementation of TMFB standards
  • Serve as ‘consultant’ to agencies, assisting in solving problems, implementing TMFB strategies, or carrying out their work to standard

  • Investigate all client/community complaints about an agency including investigation and recommendation for a possible revocation of membership after due process. Maintain and administer complaints tracking, providing reports as necessary

  • Coordinate and spot-check food distribution at agencies, ensuring clients are receiving food aligned with TMFB’s standards

  • Oversee agencies’ timely and accurate input to Link2Feed (cloud-based client database). Provide training to agency staff/volunteers who require assistance

Network Expansion and Improvement (30%)

  • Proactively seek out potential new agencies for the Network who will participate in increasing access to food in TMFB priority neighbourhoods, maintaining a pipeline of prospective agencies. Serve as a guide to onboard and train agency staff/volunteers, ensuring understanding of and compliance with TMFB policies 

  • Where TMFB operates programs, design and implement on-the-ground start-up and operation of programs including training volunteers, liaising with partners, and ensuring measurement and evaluation protocols are followed

  • Seek out and develop relationships with social service organizations in Mississauga who provide services beyond food (ie. legal aid, healthcare, mental health services, etc.), hosting them on-site at TMFB agencies to provide assistance to clients

  • Assist agency staff/volunteers with capacity fund applications and projects. Work with agencies to improve capacity scores and optimal client service

  • Conduct timely data analysis using Link2Feed and other platforms for qualitative improvement and to enhance the outreach of TMFB and its agencies to vulnerable populations

Agency Administration (20%)

  • Design and coordinate the implementation of client and agency surveys, compiling results for use by other department members and feeding into overall organizational KPIs

  • Implement regular communications with agencies including newsletters, meetings, conferences, etc.

  • Ensure agency agreements are renewed annually and agencies meet their obligations

  • Ensure agency network information is up-to-date and available (maps, TMFB website, print materials, agency referral brochures, etc.)

Supervision of Staff (10%)

  • Direct and supervise the work of the Agency Capacity Building Specialist and the future Agency Relations Coordinator plus any interns or placements to foster healthy success for TMFB, including:

    • Recruit, hire/terminate, performance evaluation, and training/development

    • Establish accountabilities and evaluate performance regularly. Translate broad goals into achievable steps. Set and manage appropriate expectations

  • Pursue formal/informal education for self and others

Other Duties as Assigned or Required (10%)

 

Education and Experience

  • 5+ years experience in a community service, public administration, not-for-profit, or related field, including 2+ years in a supervisory role

  • Masters degree, or equivalent education and experience in a related field

  • Knowledge and demonstrated experience in surveying and data collection, implementing projects and programs to meet community needs, and working in a network or a multi-stakeholder environment

  • Good knowledge of or experience with agencies and community support structures in Mississauga or Peel region will be an added advantage

  • Technical. Computer proficiency with strong skills in MS Office and/or Google Apps for business and computerized databases. TMFB is a cloud-based, paperless environment.

  • Communication. Speak, listen, and write in a clear, confident, respectful, thorough, and timely manner using appropriate and effective communication tools and techniques

  • Flexibility/adaptability. Flexible, versatile, and/or tolerant in a changing work environment while maintaining effectiveness and efficiency. Adjust quickly to changing priorities and conditions. Cope effectively with complexity and change

  • Proactivity/Enthusiasm/Persistence. Act without being told what to do. Passionate and excited about work. Can-do attitude. Tenacious and goes the distance to complete work. Ability to work autonomously while being aware of the importance of accountability 

 

Role Details

Relationships: This position reports to the Director of Programs and Operations and supervises the Agency Capacity Building Specialist and a future Agency Relations Coordinator

Position Type: Full-time, permanent. Evening and weekend work required

Compensation: Starting salary of $59,000-65,000, commensurate with experience and qualifications, plus:
