Program Coordinator - The Career Foundation

Position Title: Program Coordinator, Completing the Circle Program

Program Description: The Career Foundation’s Completing the Circle is a youth employment and skills development project funded by Canada’s Youth Employment and Skills Strategy (YESS). Completing the Circle fosters the development of, and provide individualized support to, youth with multiple barriers to employment. Our team of Career Development experts provides links to employment opportunities for motivated youth job seekers and workers. Through the program, youth participants are empowered to find employment, equipped with tools, supports, new skills, and confidence to start and maintain work. Through the program, CTC youth participants take their first steps towards meaningful careers now and into the future. Our focus is on quality work opportunities for youth, employment maintenance and career advancement, professional development and training, and enhanced supports that are flexible and adaptable to the needs of youth.

Position type: 1-year full time contract (very good possibility of renewal)
Location: Toronto (Lawrence Ave. & Weston Rd.)

Responsibilities (include but are not limited to):

  • Coordinates and supervises the day to day operations of the program including client service, staff supervision and partner relations
  • Supervises and motivates staff in reaching program targets and service expectations
  • Organizes and leads staff training, case conferencing, and daily staff meetings
  • Collects and monitors staff job search activity reports (resumes sent, interviews attended, companies contacted)
  • Regularly monitors team and individual performance against program targets to ensure the achievement of the expected results for the project
  • Communicates with director regarding staff performance and program status in relations to funder’s contract requirements and needs of the programs
  • Communicates regularly with funder to provide updates, to clarify project details and gain approvals
  • Schedules office activities to ensure staff coverage and uninterrupted service to clients
  • Identifies strategic partnerships with community services to ensure a diverse pool of applicants for the program, with a focus on priority groups as identified by the funder such as: Aboriginal youth, youth with disabilities, and youth who identify as visible minorities
  • Follows and enforces program and organization’s internal standards and policies and procedures
  • Monitors office budget, oversees staff expenses and ensures contractual budget practices and operations are followed
  • Attends manager and community partner meetings and shares information with the organization
  • Attends to customer feedback and resolves issues if they arise
  • Case manages and maintains documentation of participant files/database, records of service and participant progress reports on internal and external databases (GCOS)
  • Collects and maintains statistical information on client needs and program activities
  • Authors and edits reports and e-mails to funder as required by the funder
  • Cultivates a positive and collaborative working environment for the team


  • Researches, develops, and creates materials for the delivery of workshops
  • Supports the facilitation of pre-employment sessions along with the Employment Advisor, designed to foster independent job search skills in multi-barriered youth
  • Leads group work through activities and online
  • Manages conflicts or disruptions during workshops in a proactive and professional manner
  • Fosters respect, leadership, confidence, and other life skills 

Job Search Support:

  • Works individually with high risk youth participants in developing skills related to creating effective self-marketing materials (resumes, cover letters, letters of introduction, follow-up correspondence, calling cards)
  • Coaches youth on interview preparation and self-presentation
  • Discusses life skills with youth in a diplomatic and tactful manner
  • Assists youth with their job search and contacting employers to broker interviews
  • Provides youth with referral information for other services in the community
  • Maintains a log of client job search activities and other supports provided

Qualifications/ Skills Required:

  • University degree in human services or related is required 
  • A minimum of 4 years direct service experience in staff management, employment/career counselling, facilitation, program supervision and administration
  • Flexible and adaptable to work effectively with a diverse population of youth with significant barriers to employment
  • Equipped to work from home with adequate internet capabilities and able to work from various Career Foundation sites, as needed
  • Knowledge of online facilitation techniques and tools (e.g. Zoom). Experience facilitating online workshops with a high-level of youth participant engagement and completion
  • Experience working with employers remotely and onsite to facilitate youth employment
  • Strong knowledge of community and services provided outside of employment
  • Strong command of English, and a second language would be an asset 
  • Outstanding report and proposal writing experience 
  • Previous experience working with government funded budgets  
  • Knowledge of the current labour market trends, the impact of COVID-19 on the labour market, job search techniques and employment research methods
