Hours of Work: 35hrs/week, full-time

Job Summary

The Facilities Coordinator is responsible for the maintenance of all Elizabeth Fry Toronto office facilities and rental units both owned and leased. This position ensures the security, safety, maintenance, and management of services, meet the needs of the agency, staff and clients. Working within the mandated protocols, the Facilities Coordinator will be required to fulfill the following core duties:

 

Facilities Management

  • Maintenance of lease agreements with landlords (Carlaw St. and Mutual St. office locations) and assist in negotiating renewals as needed
  • Schedule preventive maintenance and respond to urgent maintenance calls
  • Develop emergency preparedness plans and ensure the procedures are implemented properly
  • Facilitate larger repairs, including scheduling contractors and overseeing their work
  • Scheduling and liaising with regular contracted cleaners at all office sites
  • Manage and review service contracts
  • Communicate workplace safety precautions to employees
  • Serve as a contact point for landlords
  • Perform basic maintenance duties (e.g. changing faucets, light fixtures, minor drywall repair and painting)

 

Client Housing Program(s)

  • Work with landlords to secure new rental housing units for clients
  • Liaising between clients, housing staff and landlords
  • Maintenance of agreements with landlords in collaboration with Finance Coordinator
  • Liaise with housing staff to determine charge backs to tenants

 

Other

  • Participate on internal and external committees, sharing information, identifying goals and resolving problems
  • Participate in on going professional development and assist in the orientation and training of new staff, students, peers and volunteers
  • Participate in informal and formal team meetings to review and discuss cases and provide input into other team and operational issues
  • Attend all agency wide and team meetings to stay current with agency plans, learn about different programs, meet, and share information with colleagues
  • Respond to telephones enquiries and communicated information
  • Maintain the confidentiality and security of client and agency related information
  • Comply with agency Health & Safety plan
  • Comply with agency policies and procedures
  • Perform other tasks as assigned by management

 

Qualifications and Skills

  • Excellent written, and verbal communications and interpersonal skills, including ability to negotiate and broker solutions
  • Excellent computer, organizational and administrative skills
  • Knowledge of property management including building maintenance
  • Familiar with life safety systems, fire code, building codes and other relevant legislation
  • Familiarity with rent-geared-to-income or subsidized housing desirable
  • Experience working with marginalized populations
  • Demonstrated ability to work independently and as part of a team
  • Ability to work collaboratively with a range of teams
  • Knowledgeable about the current housing rental market in Toronto
  • Knowledge of gender issues, gender based violence, and the importance of anti-oppression, anti-racist approach to all work within our organization
  • Access to a vehicle and a valid driver’s license is preferred
