Community Engagement Coordinator - Ausome Ottawa

Ausome Ottawa enriches the lives of families living with autism through sport and recreation. We are working toward our vision of a world where everyone can enjoy the benefits of play and physical activity, free of barriers. We do this by:

  1. Providing supported sports programs like soccer, basketball and gymnastics. 

  2. Teaching physical literacy skills they need to run, jump and throw with other kids in the community, and

  3. Training leaders who support individuals with autism in sport and recreation, like coaches, instructors, caregivers and educators. 

JOB SUMMARY

Ausome Ottawa is looking for a dynamic, energetic and competent Community Engagement Coordinator to bring Ausome to our community and our community to Ausome. In alignment with our mission and brand guidelines, the Community Engagement Coordinator is responsible for a number of roles within the organization. These include:

  • Administering and executing the digital communications plan for key constituent groups, including families, members, donors, and volunteers

  • Recruiting volunteers for sport, recreation, and camp programs.

  • Supporting fundraising and appreciation events.

  • Meetings of the Board of Directors.

  • Other ad hoc events and programs.

 

The Community Engagement Coordinator must possess excellent organizational skills and the ability to communicate proficiently with people from diverse backgrounds and experiences, both verbally and in writing. The Community Engagement Coordinator is tasked with building and maintaining relationships between volunteers, staff, donors, community members and other community stakeholders. 

 

Reports to Director of Community Engagement and Business Development

 

ROLE AND RESPONSIBILITIES: 

 

Digital Communications (50%)

  • With content and input from other staff members, draft, build, test, send and reply to responses generated from weekly, monthly and ad hoc e-newsletters and bulk email messages to a variety of constituent groups.

  • Manage the organization’s social media calendar; in collaboration with other staff members, generate and push out social media content on Ausome’s Facebook, Instagram, LinkedIn, Twitter and other platforms; monitor, reply to and engage with relevant social media comments from Ausome’s community and beyond..

  • Respond to email inquiries promptly and professionally.

  • Perform basic website maintenance (Wordpress).

  • Support other staff members with other communications duties as required.

 

Volunteer Management (50%)

Volunteer Recruitment

  • Recruit volunteers through various channels (website, social media, local organizations, high schools, post-secondary institutions, corporations, etc).

  • Attend volunteer fairs, festivals to recruit and meet with potential volunteers (or train volunteers to represent Ausome at these events).

  • Solicit corporations and organizations for group volunteer opportunities and steward these relationships on an ongoing basis.

  • Manage prospective volunteer database and email lists.

  • Maintain orientation materials for new volunteers, including handbooks, policies.

 

Volunteer Training and Coordination

  • Serve as liaison between administration, staff, and volunteers.

  • Orient volunteers and arrange for appropriate training.

  • Communicate regularly with volunteers to ensure they are aware of all volunteer opportunities and responsibilities.

  • Ensure the organization’s volunteer needs are being met.

  • Schedule volunteers as required.

  • Coordinate and supervise teams of volunteers for large-scale programs/activities.

  • Support the volunteer Board of Directors through meeting room bookings, preparing food and beverage, circulating meeting materials and other duties, as required.

 

Volunteer Stewardship Retention and Recognition

  • Organize volunteer appreciation activities.

  • Cultivate a positive and supportive atmosphere by recognizing volunteer efforts and supporting volunteers within the organization and with personal requests, wherever possible.

 

Volunteer Reporting and Tracking

  • Track volunteer hours and other key volunteer-related metrics.

  • Produce reports, as requested and required, and make recommendations.

 

General

  • Remain current in sector trends, best practices, and platforms, as well as general office technology.

  • Present updates to colleagues and executives verbally and in writing on a regular basis.

  • Support all Directors with their volunteer requirements and other duties, as required.

  • Work well independently and within a group as part of a small, hard-working, fast-paced, passionate, dedicated team of non-profit professionals.

  • High level of initiative with strong attention to detail.   

  • Hard working individual who demonstrates a “can-do” attitude.

 

Additional Notes and Job Details

  • Frequent local travel.

  • Flexibility to work weekend and evening hours on a regular basis.

  • Ability to work in an open-concept office environment with frequent interruptions.

 

Essential Skills:

 

  • Post-secondary degree or equivalent

  • 1-3 years of experience recruiting and leading volunteers.

  • 1-3 years of experience in digital communications with working knowledge of Wordpress and Mailchimp (or equivalent).

  • Excellent written and verbal skills with the ability to communicate effectively with diverse individuals.

  • Working knowledge of social media platforms and best practices.

  • Excellent organizational and team coordination abilities

  • Excellent time management skills and ability to work under pressure to tight deadlines

  • A pleasant, outgoing personality and ability to build rapport

  • Strong critical thinking, problem-solving and analytical skills

  • Working knowledge of databases, Google Drive, Salesforce or similar CRM  and MS Office

  • Understanding of maintaining confidential data

 

Preferred Skills and Qualifications

  • Bilingual (French and English).

  • Experience in volunteer recruitment and leadership.

  • Post-secondary degree in a related field.

  • Access to a vehicle is an asset, but not a requirement.

 

Annual Salary:$40,000-$45,000 
Location: 75% in-office, remote during COVID-19
