Administrative Assistant to the Executive Director - The Shoebox Project for Women

Duties & Responsibilities:

  • Data Entry/Management: acquire, validate, and processing required data to ensure accessibility, reliability, and timeliness for its users

  • Manage communications for general email inquiries

  • Assist in corporate communications and sponsorship activities

  • Aid in logistics of donations (storage & retrieval) processes and communications

  • Receive, sort, inspect and track various donations coming into head office (gift-in-kind, shoeboxes, etc.)


  • Excellent written and verbal communications skills, with ability to adapt to different situations and audiences

  • High proficiency using Microsoft Office Suite, Google based applications

  • Experience in remote-based work an asset

  • Exceptional organizational skills with special attention to detail

  • Capable of maintaining strict confidentiality of records and information

  • Ability to work independently with limited supervision and willingness/ability to communicate with staff on a regular basis

  • Knowledge of or interest in issues affecting women impacted by homelessness

Technology Capabilities Requirement:  Remote access ability. You will be required to use your own computer/laptop and will be given access to a Shoebox gmail account that you will use to conduct all Shoebox related correspondence on our behalf. You will need to have the ability to conduct phone calls using google meets set up through your shoebox gmail account. 

Screening Requirements:  Resume, Interview, Reference Check

Time Commitment:  3-5 hours per week with one day/week to be in-office(Toronto-Dupont & Lansdowne).

Duration:  Ongoing with expectation for at least a 6 month

Training & Supervision:  Training provided through video conference or in person when able, written processes. Training & Supervision conducted by the Executive Director.
