Admin Assistant - Metis Commission for Children and Families of BC
The Administrative Assistant contributes to the efficient day to day operations of the office and supports the work of management, staff and the Board of Directors.
Duties and Responsibilities:
Provide Administrative support to management, staff and board members;
Perform general office duties such as typing correspondence, receiving & answering emails, photocopying and scanning documents, sort and distribute incoming mail and faxes, answer the telephone and connect calls to the appropriate person, maintain a log of all incoming calls and maintain office filing systems;
Coordinate meetings and gatherings, assist with agenda, inform other participates of upcoming meetings, send meeting participants pertinent documents, book meeting rooms, make accommodation & travel arrangements and liaise with hotel & catering staff;
Data entry and upkeep of the organization’s databases, ensuring a high level of accuracy and archive old files;
Proficient with Microsoft Office, Publisher, Excel, PowerPoint and ability to learn different database software;
And, record, process, distribute, proof read and maintain meeting records for meetings.
Diploma in business or office administration, or equivalent work experience. Must have excellent organizational skills, time and administrative management skills, knowledge of and or experience in the non profit sector, competency in software applications/programs including internet and Microsoft Office;
Working knowledge of office equipment and procedures;
And, ability to function under pressure and to meet deadlines.
Applicant must be able to travel, maintain a flexible work schedule when required, have their own vehicle and pass a criminal record check. Benefits and generous vacation provisions are in place. Position is 30 hours a week.
