About Circle Community Land Trust: Circle is a non-profit organization founded to protect and invest in some of Toronto's last affordable family-sized homes. In June 2021, the City of Toronto chose Circle as the successful proponent to own and manage 561 houses transferred from Toronto Community Housing Corporation. For tenants, the benefits will be improved services and well-maintained homes. For Toronto, the benefits are the preservation and regeneration of hundreds of affordable houses – houses that would be impossible to replace in today's market – in mixed-income neighbourhoods. Beginning in April 2022, Circle will begin to complete the purchase of the houses, bring them to a good state of repair, and keep them affordable. Governed by a volunteer Board of Directors comprised of leaders in the social housing sector, Circle has a vision of quality, family-sized, perpetually affordable homes in inclusive communities to serve today's tenants and future generations.

The Accounts Payable Associate plays an essential role in the Circle Community Land trust. The incumbent works collaboratively with the team members and reports to the Director of Finance.

Key Responsibilities
  • Review vendor invoices, ensuring controls are in place through reconciling purchase requisitions to invoices, appropriate authorizations, correct recording of HST, and follow-up on discrepancies and errors.
  • Processes Organization-wide accounts payables (including credit card reconciliation and JE-GL entries), ensuring accurate program account coding allocations and calculation of HST.
  • Generates payments for accounts payable, including manual cheques, electronic payments and employee expense reimbursements through the accounting system.  
  • Ensures that electronic payments are processed and transmitted accurately and with proper controls in place, including solving any errors that arise.
  • Reconciles the accounts payable ledger and the bank monthly and prepares adjustments to the accounts payable system to ensure that the information is accurate and always up to date.
  • Acts as the primary contact with all suppliers regarding accounts payable issues.
  • Process all tenants’ EFT and online payments through the Yardi ERP system.
  • Ensure accuracy of tenants records and payments by reconciling Yardi records
  • Works collaboratively with the accounts receivable and other accounting staff to ensure accuracy in month-end reporting.
  • Prepare month end GL entries
  • Prepares ad-hoc reports and month-end reconciliations.
Qualifications, Skills and Experience
  • Knowledge in the accounting field acquired through completion of a community college diploma (e.g., Accounting Diploma) 
  • 3-5 years directly related to Accounts Payable and Receivable work experience.
  • Experience working within community housing, the not-for-profit environment is an asset.
  • A keen understanding of and commitment to customer service.
  • Solid and proficient computer skills are required, including knowledge of excel, word and accounting software, and adapting to emerging technologies. (Yardi and Microsoft Dynamics)
  • Ability to work both independently and as part of a team.
  • Demonstrated organizational skills to cope effectively with multiple competing demands and priorities and meet deadlines.
  • Excellent attention to detail.
  • Strong analytical, interpretive and problem-solving skills.
  • Excellent communication (verbal and written) and interpersonal skills are required.
  • Ability to respond to situations using practical judgment.
  • Ability to focus and concentrate on critical tasks to meet established deadlines.
  • Knowledge of culturally diverse communities and working well with people from diverse backgrounds.
