IBM seeks to hire a Project Control Officer

Job Duties:

  1. Create new RFS record and attach the Request document to the RFS Tool
  2. Confirm Pricing package (CDT, Pricing workbook or Pricing model) is attached in the RFS Record
  3. Check RFS Tool for RFS Records in line with FOP checklist e.g. Pricing package, QA calculator, TDA, PBA & follow-up with Proposal Manager if items are missing or incorrect
  4. Verify correct version of Proposal is approved by authorized client and attach email in the RFS tool
  5. Produce Daily, Weekly and Monthly RFS reports as directed by the account CAM
  6. Action all emails in the personal or IBM RFS inbox (filing emails after they are actioned)
  7. Respond to various client/IBM e-mail queries
  8. Manage and update RFS Team Distribution Lists, as required
  9. Investigate and address RFS process exceptions with Proposal Managers and Project managers
  10. Remind Proposal Managers and Project Managers of the RFS Process
  11. Sent proposal to client for their approval and attach a copy of that email in the RFS tool
  12. Manage RFS Filing System (e.g. post signed hard copy documents in a filing cabinet on IBM premises), if applicable
  13. Participate in daily RFS meeting, if applicable
  14. Confirm that all FOP documentation has been attached to the RFS Tool
  15. Forward all queries from Customer fulfillment team on FOP issues and violations to the appropriate owner ( Proposal Man-ager, Opportunity Owner, Project Manager)
  16. Use the RFS Administrator checklist to ensure requisite delivery documentation is field in the RFS tool as it marked closed
  17. Attach a copy of the email from the client approving the completion of project delivery to the RFS repository
  18. Attach a copy of the e-mail from the FA confirming the completion to the RFS repository
  19. Close RFS Records in RFS Tool once Billing and Closed Notification is received

Additionally:

  • Prepare reports: b) project health reporting – e.g. run proposal and project dashboards on a regular basis, interim reports, unbilled labor report c) Monthly Metric Report d) Ad Hoc Reports as requested
  • Overall Project Control Book administration – e.g. ensuring documentation is current
  • Complete project closure items as listed on the Project Closure checklist and file all documentation in the RFS tool
  • Manage and update RFS Team Distribution Lists as required
  • File COSCARD and other miscellaneous items (e.g. signed hard copies in filing cabinets)
  • Send out Request for Service and Approval Notifications to a defined group of people, including the Resource Deployment Manager
  • Assist Proposal Manager or Project Manager, as applicable
  • APCCA
