Reporting to the OLRT Safety Manager, the Safety Administrator will be responsible for providing dedicated administrative support to managers and staff in the Safety and Environmental departments.

This is a term position - four (4) months starting May 1 - September 1, 2017- located in Ottawa, Ontario.

In the position of  Safety Administrator we would ask you to do the following:

  • Provide information and instruction to project staff external to the departments and respond to requests from other staff and external parties;
  • Maintain continuity of work operations by documenting and communicating needed actions to managers;
  • Produce information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting data;
  • Assist managers in managing their time and responsibilities by responding to correspondence: drafting letters, memos and other documents; and, collecting and analyzing information;
  • Collect monthly data from departmental coordinators' in the preparation of monthly safety and environmental reports;
  • Schedule and organize meetings and teleconferences;
  • Attend meetings, record minutes and prepare meeting minutes for distribution;
  • Ensure that follow-up actions as recorded in minutes are assigned and completed in a timely fashion;
  • Within the project database (4 Projects) Coordinate with document control to ensure documents are numbered properly and distributed to the necessary recipients.
  • The choosen candidate will be responsible for uploading and distributing the following:
    • Management plans
    • Monthly reports
    • Letters
    • Memos
    • Standard forms
    • Specific and general procedures
    • Audit reports/responses
    • Material approval requests
    • Non-conformance reports
    • Preventive/corrective action reports
    • Bi-weekly monitoring reports
    • Permit and permit applications
    • Substance release reports
    • Noise and vibration monitoring reports
  • Prepare for and assist with audits, as well as compose, compile and distribute documents in response to audits of departmental Safety and Environment;
  • Prepare purchase requisitions for supplies and services and liaise with procurement officers/managers;
  • Maintain detailed inventory control systems to track assets;
  • Finalize environmental weekly and bi-weekly reports for distribution;
  • Compile supporting documentation for closure of non-conformances;
  • Prepare and submit material approval requests to reviewing parties;
  • Maintain document registers up-to-date ( material approval requests, audit observations/responses, submittal tracker, etc);
  • Manage safety and environment electronic filing system utilizing both the Shared drive and 4P;
  • Administer the compilation of data and documents for environmental permit applications.

Required skills, knowledge and abilities:

  • Post-secondary, diploma in administration or equivalent;
  • Designations Required: Working toward a recognized certificate in administration;
  • Training in relation to Occupational Health and Safety is considered a strong asset;
  • Preferably one year experience  primarily in the construction industry;
  • Experience in heavy civil construction, transportation, mass transit systems considered a strong asset;
  • 2 years of safety related experience or equivalence in school training
